Job Summary
We are seeking a professional and organised Receptionist to join our team for 1 day per week, 8 hours per week with additional overtime to cover staff absences when on holiday etc. The successful candidate will serve as the first point of contact for visitors and callers, ensuring a welcoming and efficient environment. This role requires excellent communication skills, strong organisational abilities, and proficiency in various office software. The Receptionist will manage administrative tasks, handle correspondence, and support daily operations to maintain smooth office functioning.
Duties
- Greet visitors and clients in a courteous and professional manner
- Answer incoming phone calls using proper phone etiquette and direct calls appropriately
- Manage appointment scheduling and maintain the calendar using Microsoft Outlook
- Perform data entry tasks accurately using Semble or other relevant software
- Handle incoming and outgoing correspondence, including emails and postal mail
- Maintain organised records and filing systems for easy retrieval of information
- Assist with administrative tasks such as photocopying, scanning, and document preparation
- Support other administrative staff with various clerical duties as required
- Ensure the reception area remains tidy and welcoming at all times
- Additional cover for staff when on holiday
- Experience on Semble but not essential
- Experience on MASTA but not essential
Requirements
- Proven office experience or administrative experience is preferred
- Strong computer skills, including proficiency with Microsoft Office (Word, Excel, Outlook)
- Experience with Semble or similar practice software is advantageous
- Excellent organisational skills with the ability to prioritise tasks effectively
- Good typing speed and data entry accuracy
- Exceptional phone etiquette and communication skills
- Ability to work independently with minimal supervision while maintaining attention to detail
- Strong organisational skills to manage multiple tasks efficiently
