Job Summary
We are seeking a highly organised and proactive Stock and Facilities Administrator to support the effective management of stock, purchasing activities, and facilities administration across the business. This role is responsible for maintaining accurate stock records, processing orders and purchase orders, coordinating deliveries, and providing administrative support for facilities-related requests and activities.
The successful candidate will play a key role in ensuring stock availability, efficient procurement processes, and a well-maintained working environment.
Key Responsibilities
Stock Management
- Monitor and maintain stock levels to ensure adequate supply of materials, equipment, and consumables.
- Receive, check, and record incoming deliveries, ensuring accuracy against purchase orders and delivery notes.
- Maintain accurate inventory records and perform regular stock audits and reconciliations.
- Investigate and resolve stock discrepancies, shortages, and damaged goods.
- Organise and maintain storage areas to ensure stock is stored safely and efficiently.
- Generate stock reports and provide updates on inventory levels as required.
Purchasing and Administration
- Raise and process purchase orders in accordance with company procedures.
- Liaise with suppliers regarding quotations, orders, deliveries, and invoice queries.
- Track outstanding orders and ensure timely delivery of goods and services.
- Maintain accurate procurement records and supplier information.
- Support invoice matching and assist with resolving purchasing discrepancies.
- Produce reports and administrative documentation relating to stock and purchasing activities.
Facilities Administration
- Act as a first point of contact for facilities-related queries
- Log, track, and coordinate facilities requests, repairs, and maintenance activities.
- Liaise with contractors, suppliers, and service providers to arrange facilities works.
- Assist in managing office equipment, furniture, and workplace resources.
- Support health and safety administration, including record keeping and compliance documentation.
- Help ensure office and site facilities remain safe, functional, and well maintained.
General Responsibilities
- Maintain accurate records and filing systems.
- Support continuous improvement initiatives relating to stock control, procurement, and facilities management.
- Build positive working relationships with internal departments, suppliers, and external contractors.
- Carry out other administrative duties as required to support business operations.
Skills and ExperienceEssential
- Previous experience in stock control, inventory management, purchasing, or administration.
- Strong organisational and time management skills.
- Excellent attention to detail and accuracy.
- Proficient in Microsoft Office, particularly Excel.
- Strong communication and interpersonal skills.
- Ability to manage multiple priorities and meet deadlines.
Desirable
- Experience using stock management, ERP, or purchasing systems.
- Experience supporting facilities or office management functions.
- Understanding of procurement processes and supplier management.
