The Practice Manager is responsible for ensuring the practice runs smoothly each day and that patients receive a professional, efficient and welcoming service.
· Oversee the day-to-day running of the practice, ensuring appointments, staffing, patient flow and administration are well coordinated.
· Manage the appointment book to support efficient use of clinician time and minimise gaps, delays or avoidable disruption.
· Ensure reception, telephone, email and patient administration processes are handled promptly and professionally.
· Monitor stock, supplies, equipment servicing and supplier relationships to support safe and effective practice operations.
· Maintain clear procedures for daily practice routines and ensure these are followed consistently by the team.
Patient Care and Service
· Promote a welcoming, respectful and caring environment for all patients.
· Respond to patient queries and concerns promptly, escalating clinical matters to the appropriate clinician or Practice Principal.
· Support effective communication with patients about appointments, treatment plans, costs and follow-up arrangements.
· Coordinate the handling of patient feedback and complaints in line with practice procedures.
· Encourage consistent standards of patient service across the practice team.
Team Management
· Line manage reception and nursing support staff, including day-to-day supervision, workload planning and performance feedback.
· Coordinate rotas, leave, sickness cover and staffing requirements to ensure safe and effective cover.
· Support recruitment, induction, training and ongoing development of practice staff.
· Hold regular team meetings and encourage clear communication across the practice.
· Address minor conduct, attendance or performance issues promptly and seek advice from the Practice Principal or HR support where required.
Compliance, Governance and Administration
· Maintain practice policies, procedures and records so they are accurate, accessible and up to date.
· Support compliance with health and safety, infection prevention, data protection, safeguarding and other relevant practice requirements.
· Ensure staff training records, CPD records and professional documentation are maintained appropriately.
· Coordinate audits, risk assessments and action plans as required by the Practice Principal.
· Act as a first point of contact for non-clinical operational matters and liaise with external advisers or suppliers where needed.
Finance and Business Support
The Practice Manager supports the Practice Principal with the commercial and administrative management of the practice.
· Monitor practice performance information, including appointment utilisation, income, outstanding accounts and other agreed indicators.
· Support accurate billing, payment collection, financial administration and liaison with accountants or payroll providers where required.
· Prepare reports or updates for the Practice Principal on operational, staffing or business matters.
· Identify practical opportunities to improve efficiency, reduce waste and support practice profitability.
· Assist with local marketing, patient communication and promotional activity as agreed with the Practice Principal.
Pay: £17.00-£19.50 per hour
