Overview
We are seeking a professional and organised Receptionist/Administrator to join our team. This role is vital in ensuring the smooth operation of our busy family run motor vehicle service and repair garage. The role requires providing exceptional customer service, and supporting administrative functions. The successful candidate will be the first point of contact for visitors and callers, managing a variety of clerical tasks to support daily business activities. Previous office experience within the motor trade and strong organisational skills are essential for this position.
Responsibilities
- Greet visitors and clients in a courteous and professional manner, ensuring they feel welcomed
- Answer incoming calls promptly
- Manage and maintain the reception area, keeping it tidy and presentable at all times
- Handle incoming and outgoing correspondence, including emails, mail, and courier deliveries
- Assist with scheduling appointments/bookings and maintaining workshop booking system
- Support administrative duties such as invoicing ,filing, photocopying, and document preparation
- Maintain office supplies inventory and place vehicle part orders as necessary
- Liaise with workshop to ensure smooth running of the day to day running of the Buisness
- Ensure confidentiality of sensitive information at all times
Experience
- Prior office or administrative experience within the motor trade is essential
- Proven ability to manage multiple tasks efficiently in a busy environment
- Excellent organisational skills with attention to detail
- Strong communication skills, both written and verbal
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is preferred
- Ability to remain professional and courteous under pressure
