Assistant Property Manager

About the Role
We are seeking a highly organised and proactive Assistant Property Manager to support the management of a diverse residential property portfolio across London and the Home Counties.
Working closely with Property Managers and the wider team, you will help deliver a professional, efficient, and customer-focused service to residents, clients, and contractors.
This role is ideal for someone looking to build a long-term career in property management within a structured and supportive environment.
Key Responsibilities
- Support Property Managers with the day-to-day management of residential developments
- Provide a professional and responsive service to residents, clients, contractors, and stakeholders
- Manage and administer building insurance claims, ensuring timely updates and resolution
- Monitor shared inboxes and respond to queries efficiently
- Handle incoming telephone enquiries and direct appropriately
- Attend site inspections, meetings, and client visits where required
- Assist with property inspections and follow up on required actions
- Obtain contractor quotations and assist with contractor coordination
- Support compliance-related processes (health & safety, fire risk, asbestos, etc.)
- Assist with contractor procurement and tender processes
- Issue contractor work orders in line with procedures
- Assist with LPE1 enquiries and property transaction administration
- Support onboarding and handover of new developments
- Maintain accurate records and update internal systems (e.g. property management software and task management tools)
- Prepare reports, correspondence, and administrative documentation
- Assist with service charge administration and finance-related tasks
- Support ad hoc projects as required
Requirements
- Previous experience in property management, administration, or a coordination role
- Strong organisational and time management skills
- Excellent written and verbal communication skills
- Ability to manage multiple priorities in a fast-paced environment
- High attention to detail and accuracy
- Strong customer service and stakeholder management skills
- Proficient in Microsoft Office (Word, Excel, Outlook)
- Comfortable working with systems, databases, and task management tools
Desirable
- Experience in residential property management or block management
- Exposure to insurance claims, compliance, or contractor coordination
- Familiarity with property management systems (e.g. CRM platforms)
