Job Overview
A key support role within a busy haulage office, responsible for invoicing, accounts administration, and general operational support. This role ensures accurate billing, smooth office operations, and effective communication with drivers, customers, and suppliers.
Responsibilities
Invoicing & Accounts
- Prepare and issue customer invoices accurately and on time.
- Reconcile PODs, weighbridge tickets, job sheets, and transport notes before invoicing.
- Chase missing PODs from drivers and customers.
- Process supplier invoices and match them to purchase orders or job records.
- Maintain accurate records for fuel, tolls, ferries, and subcontractor costs.
- Assist with credit control, including monitoring overdue accounts and sending reminders.
- Support month‑end processes such as revenue reports and cost summaries.
Transport Office Administration
- Support daily operations by preparing job files, load sheets, and driver paperwork.
- Update transport management systems with job details, status updates, and delivery information.
- Communicate with drivers regarding collections, deliveries, POD returns, and paperwork queries.
- Liaise with customers to confirm bookings, provide updates, and resolve queries.
- Maintain accurate records for vehicle files, MOTs, services, and compliance documents.
- Assist with booking ferries, trailers, and subcontractors when required.
- Assist with Customs Declarations when required (full training provided)
Compliance & Record Keeping
- Ensure all transport paperwork is filed, scanned, and stored correctly for audit purposes.
- Support compliance tasks such as driver hours checks, defect reporting, and maintenance logs.
- Maintain insurance, training, and certification records for vehicles and staff.
General Office Duties
- Answer phones, handle email enquiries, and provide professional customer service.
- Manage office supplies, stationery, and basic office housekeeping.
- Support management with reports, spreadsheets, and administrative tasks.
- Assist with any other duties required to support the smooth running of the transport office.
