THe office administrator, with training to be office manager, will deal with operational, administrative, and marketing support to the Bristol branch, ensuring efficient coordination of projects, compliance documentation, client communication, and internal processes.
The role supports Contracts Managers, Directors, and the wider team, maintaining high standards of accuracy, organisation, and customer service.
Core Duties
Statements & Risk Assessments
Prepare, update, and maintain method statements and risk assessments for all projects.
Annotate plans and ensure documentation reflects current site conditions.
air monitoring and coordinate with analysts.
Issue updated method statements to clients and ensure Contracts Managers have current versions.
Maintain and update the internal database with all relevant project documentation.
Obtain premises codes from the Environment Agency for new sites.
General Administration
Set up new projects and maintain accurate database records.
Issue order numbers for Contracts Managers and ensure correct allocation to projects.
Complete weekly invoicing and provide the accounts teams with monthly invoice summaries.
Issue clients with waste notes, air test certificates, and ensure all documents are filed within project folders.
File method statements and maintain organised project documentation.
Maintain the Plymouth Office Health & Safety Spreadsheet.
Archive completed job files in line with company procedures.
Answer incoming telephone calls and provide excellent customer service
Provide administrative support to the Bristol office and assist Contracts Managers with daily operational tasks.
Carry out any additional duties required to maintain efficient contract support.
