Eyelid Wellness Group (EWG) is a private oculoplastic surgery practice. Our surgeon, a Professor of oculoplastic surgery, performs cosmetic and functional eyelid procedures at a CQC-registered clinic in Yorkshire. Patients choose us for careful, well-organised care, and the Patient Coordinator is the person they deal with most.
The role
This is a coordination role, not reception. You are the main point of contact for every patient from first enquiry through to discharge six months after surgery, and you keep the whole pipeline moving. You work in our practice dashboard (full training given), with the surgeon, the clinic team and the practice directors.
Day to day you will:
- Respond to new enquiries within minutes, screen them and book consultations, including taking the consultation payment
- Run the patient pipeline: consultation, letter, consent, surgery booking, reviews, discharge
- Chase and log written consent confirmations (house rule: no written confirmation, no surgery date)
- Manage the surgeon's diary: consultations, theatre lists, Zoom reviews and follow-up appointments
- Coordinate payments and deposits, chase balances due before surgery, and keep the records accurate
- Check consultation letters go out within 48 hours and that pre-op and post-op information reaches patients
- Schedule and host the surgeon's weekly Zoom review clinic
- Make post-operative check-in calls, including a short Sunday call block after Saturday theatre lists
- Pass any clinical question to the clinical team. You will never be asked to give medical advice.
- Send a short end-of-day report each working day
Hours (UK time)
- Monday to Friday: 09:00–16:00
- Saturday: 2 hours (flexible block)
- Sunday: 30 minutes (post-op calls, only when Saturday surgery lists run)

What we need from you
- Excellent spoken and written English. You will spend much of the day on the phone with patients, many of them nervous, some of them recovering from surgery.
- Based in the UK or within 2 hours of UK time, and available for the full schedule above
- Your own laptop, fast and stable broadband, a headset, and a private room where patient calls cannot be overheard
- Organised and proactive. Much of this job is following things up before anyone has to ask you to. Able to cope with high demand and fast paced work.
- Experience in healthcare administration, private clinic coordination or a similar remote admin role is preferred, but not essential.
- Comfortable with CRMs, shared inboxes and Zoom, and able to learn new software quickly
- Self-employed: you invoice us for hours worked and handle your own tax (UK candidates need a UTR)

Working time is logged in time-tracking software that takes periodic screenshots during working hours. Business calls are recorded. Cameras are on for all Zoom meetings. Tasks and KPIs are tracked in our dashboard, with a short end-of-day report each day. All of this is set out in the contract and applies only during logged working hours.
