Administration & HR Manager (Part-Time)
Thursday & Friday: 9:00am – 1:00pm | Saturday: 8:30am – 1:00pm
£13.00–£15.00 per hour

Esprit Kids is looking for a professional, organised and approachable Administration & HR Manager to oversee our administration and people processes. This is a varied and rewarding role suppor<ng both our customers and our coaching team.
Please note: Flexibility to provide holiday cover on Mondays, Tuesdays and Wednesdays (9:00am– 1:00pm) is an essential requirement of this role.
About the Role
As our Administration & HR Manager, you'll play a key role in supporting the day-to-day operations of Esprit Kids. You'll oversee customer administration, payroll processing, staff records, recruitment administration, compliance and HR processes, helping ensure the business operates efficiently and professionally.
Working closely with the Owner and coaching team, you'll coordinate our people systems while maintaining the highest standards of confidentiality and organisation.
Key Responsibilities
Business Administration
- Be the main point of contact for customer enquiries via email and phone.
- Manage memberships, class changes, trial bookings and customer records.
- Process leavers, cancellations and customer account updates.
- Process customer payments and approved refunds.
- Support payroll by collecting staff hours and processing payroll submissions.
- Maintain accurate and up-to-date Xero records for the company's accountants
Human Resources
- Coordinate staff onboarding, including contracts, documentation and compliance checks.
- Issue employment contracts and approved contract amendments.
- Coordinate recruitment, including applications, interview scheduling and trial sessions.
- Administer staff performance review processes.
- Maintain accurate staff records and employment documentation.
- Track annual leave, staff absences and attendance.
- Monitor DBS checks, safeguarding certficates and qualification renewals.
- Support employee wellbeing and act as the first point of contact for routine HR matters.
- Coordinate the administration of staff concerns and complaints, escalating where appropriate.
We're Looking For Someone Who:
- Has previous HR experience (essential).
- Has strong administration or office management experience.
- Is highly organised with exceptional attention to detail.
- Has excellent communication and interpersonal skills.
- Can manage confidential information with professionalism and discretion.
- Is confident using Microsoft Office and learning new systems.
- Can work independently while contributing positively to a small, supportive team.
- Has a proactive approach and enjoys improving processes.
Hours
12.5 hours per week
- Thursday: 9:00am – 1:00pm
- Friday: 9:00am – 1:00pm
- Saturday: 8:30am – 1:00pm
The successful candidate will also be expected to provide holiday cover for our administration team. This will occasionally involve working on Mondays, Tuesdays and Wednesdays (9:00am– 1:00pm) when colleagues are on annual leave. Advance notice will be given wherever possible.
Pay
£13.00–£15.00 per hour, depending on experience.
