The Role
As our new Fleet Administrator, you'll be responsible for the day-to-day coordination of fleet operations to ensure vehicles are utilised effectively, downtime is minimised, and all fleet activities are safe, compliant and cost-efficient. This role plays a key part in supporting operational performance through data-driven decision-making, strong vendor management, and continuous improvement initiatives.

Key Responsibilities for Fleet Administrator:
Plan, coordinate, and optimise vehicle allocation and utilisation to maximise fleet efficiency and minimise downtime
Manage maintenance planning, downtime, parts availability, and vendor relationships to ensure reliable fleet availability
Monitor fuel usage, telematics data, and performance metrics, driving efficiency and continuous improvement initiatives
Ensure compliance with safety, regulatory, and company policies, promoting a strong safety-first culture
Manage fleet budgets, cost controls, spend reporting, and support financial planning activities
Support incident investigations, reporting, and cross-functional collaboration with Compliance, IT, Finance, and operational teams, providing live performance reporting to leadership
About You We're looking for someone who brings:
Minimum 2 years' experience in fleet administration, logistics, operations, engineering, or a related field, with fleet or transport management experience preferred
Strong written and verbal communication skills, able to engage effectively with internal teams and external stakeholders
Highly analytical, with hands-on experience using fleet management systems, telematics, and Excel
Solid knowledge of maintenance planning, procurement, and vendor management
Strong commitment to safety, regulatory, and company compliance, actively promoting a safety-first culture
Proven ability to manage multiple vehicles, schedules, and records, balancing priorities across operational demands
A proactive team player who can work independently, drive continuous improvement, and professionally represent GBA Logistics
