Role Overview
The Administration Officer is responsible for providing efficient administrative support to ensure the smooth day-to-day operation of Project Green Group. The role supports all departments, helping to deliver excellent customer service while maintaining accurate records and ensuring projects are managed efficiently from enquiry through to completion.
Key ResponsibilitiesAdministrative Support
- Manage incoming telephone calls, emails, and customer enquiries.
- Maintain accurate customer records and company databases.
- Prepare, organise, and file company documentation.
- Schedule meetings, appointments, and team calendars.
- Order office supplies and maintain office administration systems.
Customer Service
- Act as the first point of contact for customers.
- Provide updates on installations and project progress.
- Handle customer queries professionally and efficiently.
- Assist with after-sales support and warranty documentation.
Project Coordination
- Support the scheduling of renewable energy installations.
- Liaise with customers, installers, suppliers, and subcontractors.
- Monitor project timelines and ensure documentation is completed.
- Prepare installation packs and required paperwork.
Compliance & Documentation
- Ensure all project files are complete and compliant.
- Maintain health and safety records where required.
- Process certification and documentation for completed installations.
- Support compliance with industry regulations and company procedures.
Financial Administration
- Prepare quotations, invoices, and purchase orders.
- Process supplier invoices and maintain financial records.
- Assist with payment tracking and customer accounts.
- Support management with reporting and administrative tasks.
General Duties
- Maintain confidentiality of company and customer information.
- Support colleagues across all departments.
- Identify opportunities to improve administrative processes.
- Carry out other duties appropriate to the role.
Skills & Experience
- Excellent organisational and time management skills.
- Strong written and verbal communication.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Experience using CRM or job management software is desirable.
- High level of attention to detail.
- Ability to prioritise workload and work independently.
- Professional and customer-focused approach.
- Previous administration experience, ideally within construction, renewable energy, or a similar industry.

Pay: £24,420.00-£39,447.80 per year
