Part Time Admin Assistant - Min 16 Hours per week
We are an independent firm of designers, planners, engineers, consultants and technical specialists offering a broad range of professional services and who continue to provide excellent mechanical and electrical design solutions across the country.
We are looking to add additional administrative support to our busy office and vibrant team.
About You
The right candidate will have the opportunity to work closely in support of the Office Manager and should have:

The role of the administrative assistant primarily consists of lending support to the Office Manager. Duties include supplier liaisons and management; ensuring that the office is maintained to an acceptable and safe working standard; office equipment is in a good an usable condition with adequate supplies of sundries and consumables, paper and electronic filing, social media upkeep, document control and reception duties. Job Duties
· Reception duties as first point of contact for all queries in person and via telephone.
· Document control of all documents and drawings issued.
· Document management. Creation and alteration of documents for engineer reports and specifications; maintenance of standards lists.
· Assisting Office Manager with general admin duties to facilitate the daily running of the office.
· Assist Office Manager with daily running of HR procedures.
· Filing (email and paper).
· Deputy Sentinel Co-ordinator.
· Assisting Office Manager with advertising and marketing event planning when required.
· Compliance with SVM Glasgow Drugs and Alcohol policy.
· Compliance with Sentinel rules.
· Assist Office Manager with daily running of Data Protection procedures including monthly check of data for removal of expired documents and maintenance of policies.
· Routine social media updates and content creation.
· Provision of holiday cover for Office Manager.
Essential Skills and Experience
· Proficient in Microsoft Office including Word, Excel, Outlook and Powerpoint.
· 1 years’ experience in an admin position.
· Excellent organisational, planning and time management skills with the ability to effectively prioritise and manage workload.
· Able to work independently and diligently with minimal supervision and to work flexibly with colleagues.
· Willingness to provide holiday cover for office manager.
Desired Skills and Experience
· Experience with Railway and Sentinel processes
· Experience with money handling and finance.
· Experience with social media content management.
Personal Attributes
