We are seeking a highly organised and proactive professional to join our team as an Office Manager with PA, HR & Finance duties. Initially the cover will start with a hand over period and cover of up to 12 months with the potential to being extended or developed into an assistant role. This is a varied and rewarding role requiring an experienced individual who can confidently manage multiple priorities while supporting the smooth day-to-day running of the business.
The successful candidate will provide executive support to senior management while overseeing office administration, coordinating HR activities, and assisting with finance processes. This is an excellent opportunity for someone who enjoys working in a fast-paced environment and takes pride in delivering exceptional organisational support.
Key Responsibilities
Personal Assistant
- Provide comprehensive diary and calendar management.
- Arrange meetings, travel, and accommodation.
- Prepare agendas, reports, presentations, and meeting minutes.
- Manage confidential correspondence and documentation.
- Act as the first point of contact for senior management.
Office Management
- Oversee the day-to-day running of the office.
- Manage office supplies, equipment, and facilities.
- Coordinate health and safety compliance.
- Maintain office policies and administrative systems.
- Organise company meetings and events.
Human Resources
- Support recruitment, onboarding, and induction processes.
- Maintain employee records and HR documentation.
- Coordinate training and employee development activities.
- Monitor annual leave and absence records.
- Assist with HR policies and employment administration.
Finance
- Process invoices and bills.
- Raise customer invoices and assist with credit control.
- Reconcile company accounts and maintain accurate financial records.
- Support payroll preparation by providing relevant information.
- Assist with monthly reporting and finance administration.
About You
The ideal candidate will have:
- Previous experience in a PA, Office Manager, HR, or Finance role.
- Excellent organisational and time management skills.
- Strong communication and interpersonal abilities.
- A high level of discretion and professionalism when handling confidential information.
- Excellent attention to detail.
- Strong IT skills, including Microsoft Office applications, Canva, Adobe, Wix, ability to use Xero is a must.
- Experience with forecasting, accounts is preferred.
- The ability to work independently while managing multiple priorities.
- Experience of the built environment is beneficial.
