Overview
We are seeking an experienced and organised Office Administrator / Showroom Sales Assistant to join our team. This role offers an exciting opportunity to be the first point of contact for customers and engineers, manage administrative tasks efficiently, and support the smooth operation of our sales showroom and office.
The ideal candidate will bring enthusiasm, excellent communication skills, and strong organisational abilities to ensure seamless sales and administrative processes.
Responsibilities
- Manage the daily operations, sales and administration of a busy fireplace, bathroom and heating showroom.
- Provide professional and friendly customer service via telephone, email and face-to-face interactions.
- Handle customer enquiries and sales, product orders and supplier communications.
- Use Xero daily for customer relationship management (CRM), invoicing, customer records and financial administration.
- Raise sales invoices, process customer payments and maintain accurate financial records.
- Input supplier invoices into Dext and assist with accounting administration.
- Prepare payroll information, process wages and distribute employee payslips.
- Coordinate gas engineers’ workloads, appointments, installations and servicing schedules.
- Register boilers, fires and gas appliances, ensuring compliance documentation is completed accurately.
- Maintain service schedules and contact customers regarding upcoming boiler and fire servicing requirements.
- Order materials and equipment from suppliers and merchants to support installations and maintenance work.
- Process card payments and support customers throughout the sales and installation process.
- Maintain spreadsheets, filing systems and business records to ensure operational efficiency.
Qualifications
- Proven experience in sales and administrative roles or customer service environments with strong organisational skills
- Proficiency in Microsoft Office applications: Word, Excel, Outlook
- Familiarity with Xero CRM software for managing customer data and sales activities
- Excellent communication skills in English—both written and verbal—along with strong IT literacy
- Ability to multitask effectively while maintaining attention to detail in a fast-paced setting
- Demonstrated good time management skills to prioritise tasks efficiently
- Computer literacy with a good understanding of office equipment and software tools
- Previous experience working in sales administration or showroom environments is desirable
You will be expected to work 1 in 3 Saturdays for which you will take a days lieu during the week.
Salary would be dependent on experience within a range.
