Experienced Financial Services Professionals Only
We are seeking an experienced and highly organised Executive Assistant / Financial Services Administrator to join our growing Independent Financial Adviser (IFA) practice.
We are looking for someone who can make an immediate contribution to the business and who already has experience working within an Independent Financial Adviser (IFA), Wealth Management or Financial Planning firm.
If you do not have previous experience in financial services administration, your application will unfortunately not be considered.
This is a varied role that combines Executive Assistant responsibilities with financial services administration, supporting the Directors and advisers while helping to ensure the smooth running of the business and delivering an exceptional service to our clients.
The Role

As a key member of our team, you will be responsible for providing high-level administrative support while also managing a wide range of financial services administration tasks.
Your responsibilities will include:
Executive Assistant Duties
- Managing diaries, appointments and meetings.
- Organising workloads and prioritising key business activities.
- Managing emails and correspondence.
- Preparing meeting packs and documentation.
- Coordinating projects and following up outstanding actions.
- Supporting the Directors with day-to-day business operations.
- Maintaining accurate records and ensuring deadlines are met.
Financial Services Administration
- Processing new business applications.
- Preparing client documentation and suitability paperwork.
- Liaising with investment platforms, pension providers and insurers.
- Managing client records using the firm's back-office systems.
- Monitoring applications through to completion.
- Assisting with annual reviews and ongoing client servicing.
- Ensuring all work complies with FCA regulatory requirements and internal procedures.
Essential Requirements
To be considered for this position, you must have:
- A minimum of two years' experience working within an Independent Financial Adviser (IFA), Wealth Management or Financial Planning firm.
- Previous experience as an Executive Assistant, Personal Assistant, Senior Administrator or Financial Services Administrator.
- Experience of financial services administration, including pensions, investments, protection and/or mortgages.
- Experience liaising with financial providers, platforms and clients.
- Excellent organisational and time management skills.
- Outstanding attention to detail and accuracy.
- Strong written and verbal communication skills.
- The ability to work independently, manage multiple priorities and maintain confidentiality.
Desirable Experience
While not essential, experience of the following would be advantageous:
- Intelligent Office (IO).
- Provider platforms such as Aviva, Quilter, Transact, Abrdn, Aegon, Royal London or similar.
- Microsoft Office 365, including Outlook, Word and Excel.
- An understanding of FCA regulatory requirements and Consumer Duty.
