Maintenance Controller – Fleet, Mobile & Third-Party Maintenance

About the Role
Due to continued growth, MAX Automotive Group Ltd is looking for an experienced Maintenance Controller to join our expanding fleet maintenance operation.
This is a key operational role responsible for coordinating and controlling maintenance across:
- Our own mobile engineers Our in-house workshops Third-party garages and repairers Fleet and commercial customer vehicles Cars and vans HGVs and trailers Plant and powered access equipment
Your priority will be simple: make sure maintenance is completed correctly, on time and at the right cost while keeping vehicle and equipment downtime to a minimum.
This is not simply an administration position. We need somebody who understands vehicle maintenance, can make decisions, challenge costs and actively manage jobs from initial defect through to completion.
The Role
Day-to-day responsibilities will include:
- Controlling and allocating work to mobile engineers Booking work into our in-house workshops Arranging repairs with approved third-party suppliers Managing breakdowns and urgent repairs Reviewing vehicle defects and maintenance requirements Prioritising jobs based on safety, compliance and customer downtime Obtaining estimates and repair quotations Reviewing labour times and parts requirements Challenging excessive or unnecessary repair costs Issuing repair authorisations Raising and controlling purchase orders Monitoring jobs from booking through to completion Chasing suppliers and engineers for progress Keeping customers and fleet managers updated Coordinating vehicle movements where required Managing planned preventative maintenance Scheduling servicing, inspections and statutory maintenance Monitoring MOT, PMI and other compliance requirements Reviewing completed inspection sheets and defect reports Ensuring identified defects are correctly actioned and closed Checking third-party invoices against authorised work Maintaining accurate digital maintenance records Monitoring vehicle downtime and escalating delays Helping ensure vehicles and equipment are returned to service as quickly as possible
Mobile Engineer Control
A significant part of the role will involve controlling our own mobile engineering operation.
You will:
- Allocate jobs based on location, skill and priority Plan efficient engineer routes and workloads Ensure engineers have the correct job information Coordinate parts requirements Monitor job progress throughout the day Reallocate work when priorities change Review completed digital job cards and inspections Ensure additional work is correctly authorised Reduce unnecessary travel and lost technician time Maximise engineer productivity and first-time fixes
Third-Party Maintenance Control
Where work cannot be completed internally, you will manage our third-party repair network.
This will include:
- Locating suitable repairers Obtaining estimates Comparing costs and repair options Negotiating where appropriate Issuing purchase orders and authorisations Monitoring repair progress Challenging unnecessary delays Checking completed work and invoices Maintaining supplier performance standards
The objective is to maintain control of the job even when the vehicle is being repaired elsewhere.
Experience Required
We are looking for somebody with a proven background in one or more of the following:
✓ Fleet maintenance control✓ Vehicle maintenance administration✓ Commercial vehicle maintenance✓ Workshop control✓ Service advising✓ Fleet management✓ Vehicle leasing or contract hire maintenance✓ HGV/fleet maintenance operations✓ Breakdown or repair network management
Previous experience controlling both internal technicians and external repairers would be particularly advantageous.
Technical Knowledge
You don’t necessarily need to be a qualified technician, but you must have enough automotive knowledge to understand what you’re authorising.
You should be comfortable discussing:
- Servicing and scheduled maintenance Mechanical repairs Diagnostics Brakes and suspension MOT repairs HGV safety inspections / PMIs Trailer maintenance Vehicle defects Parts and labour requirements Manufacturer maintenance schedules
Experience with cars, vans and HGVs would be particularly valuable.
Systems & Fleet Experience
Experience using fleet or workshop management systems would be advantageous, including systems such as:
- 1link / Epyx R2C Garage management systems Digital inspection systems Fleet maintenance platforms Electronic parts catalogues and labour-time systems
You must be comfortable working digitally and managing multiple live jobs at the same time.

Why is it off the road?What does it need?Who is dealing with it?Has it been authorised?Are the parts available?When will it be completed?What is it costing?What can we do to get it back into service sooner?
