Weekend Reception Administrator
Hours: Saturday & Sunday, 10:00–16:00

Reporting to: Registered Manager (day-to-day: Nurse in Charge)

We’re a welcoming nursing home in Southampton. Our administrative team keeps the home running smoothly so residents and families feel supported.
The Role (weekends)
Provide a professional front-of-house service. You’ll greet visitors, manage phone and email enquiries, route queries to the Nurse in Charge, support referrals and scheduling, complete a clear end-of-shift handover, and offer non-clinical coordination for urgent/emergency admissions and discharges. Light basic IT troubleshooting (e.g., restarting devices) is included.
Key Responsibilities
- Front desk: sign in visitors/contractors, verify ID, offer refreshments (per IPC/food hygiene), keep reception tidy.
- Communications: answer calls, monitor reception/referrals inboxes, take clear messages, route/triage appropriately, maintain a simple call log.
- Referrals & scheduling: log new enquiries, book/confirm assessments and visits, keep weekend appointments/notes up to date; deliver a written + brief verbal handover.
- Admissions/discharges (non-clinical): prepare paperwork packs, coordinate practicalities (transport, belongings, notifications) as directed by Nurse in Charge.
- Office admin: scan/file securely, update diaries/checklists/spreadsheets, manage post and deliveries, keep supplies stocked.
- Basic IT: reconnect Wi-Fi, clear simple printer jams, replace paper/toner, reset handsets; log/escalate issues.
- Safety & compliance: follow Safeguarding, IPC, Fire, Health & Safety, GDPR, and security procedures; remain calm and follow escalation protocols in emergencies; assist with incident/falls logs.
About You
- Experience in a care home/GP/hospital or similar reception/admin role.
- Confident, compassionate communicator; strong customer service.
- Organised, reliable, discreet; excellent record-keeping and handovers.
- Good office/IT skills (email, calendars, Word/Excel, scanning/printing; basic device resets).
- Calm and effective under pressure/emergencies.
- Right to work in the UK.

Requirements
Enhanced DBS (we may reclaim the fee if employment ends within 3 months), completion of mandatory training within agreed timeframes, satisfactory references (at least one recent in health/care) and evidence of past conduct, copies of relevant training/qualification certificates.
