About the role
- This role provides essential administrative support across our HR, Payroll, and H&S functions, working closely with the Operations & Finance Director.
- The position is based at Zullard House, 4 Downley Road, Havant, PO9 2NJ.
- Flexible working, including remote, is available, with a minimum time to be spent on site to be determined, subject to the nature of work arising at the time and the need to interact directly with staff.
- The responsibilities noted below are skewed toward an administrator level, our starting point for recruitment. However, the role is envisaged to be a managerial position, subject to the successful candidate's knowledge and experience.
Key Responsibilities
Human Resources (HR) & Personnel Management
- Administer the complete employee lifecycle - recruitment, on boarding, due process, employee records, staff queries arising and cessation.
- Assist the Director with staff salary reviews and discretionary bonus schemes.
- Assist with the administration of all forms of leave, including sick pay (SSP), compassionate leave and statutory leave. Much of this is facilitated by BrightPay.
- Assist in maintaining and updating our Staff Handbook, helping to ensure compliance with all company policies on training, absences, housekeeping, and personal behaviour.
Payroll
- Lead the execution of monthly payroll runs using BrightPay, ensuring payment by BACS by the last working day of the month. Deal with staff queries as the first point of contact.
- Ensure accurate payment of overtime, assist with adherence to National Minimum Wage (NMW) regulations and Statutory leave, including maternity and parental.
- Administer PAYE & NIC RTI compliance, mostly facilitated by BrightPay.
- Administer our auto-enrolment workplace pension scheme, including necessary data submissions to providers The People's Pension. This is mostly facilitated by BrightPay, but the processes and systems need a kick sometimes.
Health & Safety (H&S) & Compliance
- Support the Director in workplace health and safety, maintaining compliance with all statutory and regulatory requirements.
- Assist with risk assessments and controls for core business hazards, particularly those related to the forklift truck, heat processes (soldering pots, tongs, and irons) and fire hazards in general.
- Administer COSHH records.
- Administer training for first aid and fork lift operation.
- Ensure correct provision and mandatory use of Personal Protective Equipment (PPE).
- Coordinate and track required property facilities compliance, such as gas heater service and certification and obtaining the Electrical Inspection Condition Report.
- Liaise with insurance brokers regarding policy endorsements and conditions (e.g., portable heaters, hot work permits and waste disposal).
Required Skills & Experience
- Our preference is for candidates with good levels of skill & experience, if not excellent. However, we relish personal and professional growth, so consequently welcome applicants lacking certain technical expertise who demonstrate at least:
- -- Some level of proven assistant or administrative knowledge and experience supporting HR, Payroll, and H&S functions.
- -- Some proven working knowledge of UK employment law, payroll legislation and HMRC requirements.
- For all candidates we require:
- -- Excellent organizational skills, with demonstrated attention to detail in high-compliance areas.
- -- High proficiency in online collaboration tools, with very clear and professional written communication and a methodical approach to engaging with colleagues. These tools are primarily Missive and Google Workspace, with a move to incorporating Odoo currently in progress.
- -- Enthusiasm, and the desire and ability to learn and adapt.
Hours and remuneration
- Minimum 24 hours net per week, spread over 4 days. Preferred 30+ hours net per week, spread over 5 days.
- Paid holiday 19 days a year, increasing by ½ day every 30th April, up to a maximum of 22 days, pro-rata hour vs. 40 hour week. Plus the days between Xmas and New Year, when our UK site is closed and all public holidays.
- Discretionary bonus schemes.
- Salary in the region of £35k to £50k based on a 40 hour week.
Pay: £35,000.00-£50,000.00 per year
