Part-Time Xero Bookkeeper – Motor Trade
Location: Carmotion, Mexborough, S64 9QP
Hours: Approximately 8 hours per week
Working pattern: Preferably two half-days between Monday and Friday

Company overview
Carmotion is a large independent used-car supermarket based in Mexborough. We stock approximately 130–150 vehicles and sell around 120–130 vehicles each month.
We are looking for an experienced and reliable part-time bookkeeper to maintain accurate financial records using Xero and our Dealerkit motor-dealer system.
The role
The role will primarily involve Xero bank reconciliation, checking transactions transferred from Dealerkit and completing monthly vehicle-stock and balance-sheet reconciliations.
We currently have approximately 25 transactions entering Xero each day. Our service team already manages most supplier, creditor and debtor administration.
During the initial handover, some additional hours may be required to review our recent QuickBooks-to-Xero migration and confirm that the Dealerkit integration and opening balances are correct.
Following the initial review and training, the role is expected to require approximately eight hours per week. Additional month-end hours may occasionally be available by agreement.
Key responsibilities
- Reconcile bank and finance accounts in Xero
- Categorise and match transactions accurately
- Investigate duplicated, missing or incorrectly posted entries
- Check transactions transferred from Dealerkit into Xero
- Review the existing QuickBooks-to-Xero migration
- Confirm that opening balances and control accounts are correct
- Check vehicle purchases, sales and part-exchange transactions
- Reconcile vehicle finance settlements and stocking-finance accounts
- Complete a monthly reconciliation between Dealerkit, Xero and the physical vehicle-stock listing
- Ensure vehicle-related expenditure is correctly categorised, including parts, tyres, preparation, valeting and warranties
- Maintain and refine the Xero chart of accounts where necessary
- Provide limited assistance with creditor, debtor and transaction queries
- Produce a monthly list of outstanding or unreconciled items
- Ensure Xero is accurate and ready for the preparation of monthly management accounts
- Liaise with the directors, service team and external accountant when required
Payroll and VAT returns are prepared internally and will not form part of the bookkeeper’s normal duties. However, the underlying transactions and VAT coding must be maintained accurately.
Skills and experience
Essential:
- Strong practical experience using Xero
- Experience completing bank and balance-sheet reconciliations
- Good understanding of double-entry bookkeeping
- Ability to investigate and resolve accounting discrepancies
- Good Excel skills
- Excellent attention to detail
- Ability to work independently and meet month-end deadlines
- Reliable and consistent communication
Desirable:
- AAT-qualified or working towards an AAT qualification
- Xero Advisor certification
- Previous motor-trade or automotive-retail experience
- Experience with vehicle stock, part exchanges, finance settlements and stocking facilities
- Experience using Dealerkit or another dealer-management system
- Experience checking a migration from QuickBooks to Xero
Training on Dealerkit and Carmotion’s internal processes will be provided.
Objective
The objective is to keep Carmotion’s financial records accurate and reconciled throughout the year.
At each month-end, Xero should provide a reliable view of the company’s cash position, vehicle stock, finance balances and expenditure, allowing our external accountant to produce accurate monthly management accounts.
