Overall Purpose
As a Receptionist you represent St James and St James’ clients. We provide our customers and clients with a high level of customer service and professionalism. To go the extra mile to keep our customers and clients happy and to liaise with the occupiers and make the building your own.
The Receptionist is empowered to take full responsibility of the reception, hosting, safety and high-profiled security, thorough access control, tenant and client relationship, supporting the building management and providing excellent communication at all times.
Duties and Responsibilities
The below listed task/responsibilities are not exhaustive:
- To take full ownership and accountability of the reception and all associated areas, making sure that they are kept in the best possible order at all times, liaising with security, cleaners, facilities, and other departments as deemed necessary.
- Along with the front of house Security, you will be responsible for the security of the building
including tailgaters, fire exits, emergency and safety and CCTV.
- Ensure the St James folder, manual, occupiers’ procedures, phone database are up to date.
- Delivering of weekly reports and appropriate FOH data as and when required.
- Ensure to abide by the strict and stringent access and egress processes & procedures.
- First point of contact for all guests, visitors, occupiers and clients to the building, as outlined in the St James Guide.
- Being responsible for meeting and greeting of all guests and visitors into the building and providing them with exceptional service.
- Signing in guests and visitors according to security procedures and processes and directing them to the relevant floors.
- To receive/answer calls promptly and efficiently, identifying the callers’ requirements and taking messages as appropriate.
- Where appropriate, reporting of accidents or incidents.
- Assist with any building tours for new tenants.
- Work with contractors in relation to fire alarm testing and any fire evac processes and procedures.
- Handling post and deliveries and recording them in line with the buildings Team Agreement/Operations Manual.
- Administrative duties including word processing, photocopying, ordering stationery and facilities management tasks as directed by Building Management.
- Ensure the reception area is kept organised, clean and tidy at all times.
- Previous experience in delivering exceptional customer service essential.
- Excellent command of the English language, both verbal and written.
