We are private landlords looking for an organised, people-focused Property Assistant to help us run our own expanding portfolio of rental properties across Malvern and Worcester.
This is not a desk job. You'll spend as much time out at our properties as you will on the admin behind them. It suits someone who loves property and wants to be part of every stage of the tenant journey.
About Us
We own and manage our own rental properties across Malvern, Worcester and the wider Worcestershire area. We've been doing it successfully for many years. We're not a lettings agency. The properties are ours, so we look after the whole rental journey ourselves: marketing, viewings, referencing, tenancy set-up, inspections, maintenance and check-out. No separate departments. You'll be involved in all of it. We're a small team that works hard, looks after its people and has lots of fun along the way. We're now adding a Property Assistant to support our Group Property Manager in the smooth day-to-day running of the business.
The Role
You'll support the Group Property Manager with the day-to-day running of the portfolio, split between our Malvern office and our properties. Out and about most days.
Your responsibilities will include:
- Acting as first-line contact for tenant enquiries, maintenance requests and routine correspondence.
- Marketing available rooms and properties: staging rooms, posting listings and proactively reaching out to find suitable tenants.
- Handling rental enquiries, booking and conducting viewings, and following up with prospective tenants.
- Supporting the tenancy application process: referencing, right-to-rent checks, tenancy agreements (APTs), inventories and deposit registration.
- Carrying out check-ins, check-outs, mid-tenancy inspections and producing inspection reports.
- Booking compliance appointments and contractor visits and coordinating repairs and scheduled maintenance.
- Maintaining property records, tenant files and compliance trackers in our property management system.
- Liaising with utility providers, suppliers and external agents.
- Providing cover for colleagues during holidays and absence, including occasional on-call phone cover.
About You
The ideal candidate will have:
- A can-do attitude and pride in doing a good job, face to face and on the phone.
- Strong administrative and IT skills with excellent organisation and attention to detail.
- Great communication skills and a warm, professional manner with tenants and contractors.
- Enjoys being out at properties, able to manage their own workload and juggle a varied day.
- The ability to work independently and as part of a team.
- A full driving licence and access to your own car (essential).
Experience
Previous property or lettings experience is required, whether with an agency, a landlord or in property or facilities management. Knowledge of the local rental market would be an advantage.
Salary and Hours
£25,480 - £27,336 per year, based on 35 hours per week.
Monday to Friday, 9am - 5pm, office based in Malvern with regular visits to our properties across Malvern and Worcester.
