Make an impact every day at The Circle.
We’re a social enterprise that supports organisations doing good in their communities, and we’re looking for a warm, reliable Receptionist to be the friendly face of our Glasgow hub. In this role you’ll own the front‑of‑house service, handle enquiries and bookings for our office spaces, and provide steady day‑to‑day admin support to keep the hub running smoothly.
What you’ll be doing
- Welcoming visitors and tenants, creating a friendly and professional first impression.
- Handling enquiries and bookings for offices and meeting rooms, and keeping calendars and booking systems up to date.
- Answering and routing phone calls and emails via reception, making sure enquiries are followed up promptly.
- Keeping the reception area tidy, stocked and presentable at all times.
- Receiving and organising post and deliveries, maintaining clear records where needed.
- Following basic fire, health and safety procedures and controlling access to the building.
- When reception is quiet, proactively working through a standing list of tasks (bookings admin, follow‑up emails, basic facilities checks, cleaning and tidying front of house) rather than waiting to be given work.
About you
- You’re a “people person” – confident, approachable and comfortable talking to a wide range of visitors.
- You’re dependable and organised, happy to take ownership of the reception desk and keep things moving even when managers are in meetings or off‑site.
- You notice what needs doing and act on it – for example, following up on enquiries, refreshing shared spaces, or updating bookings – without needing constant direction.
- You stay calm and professional in a busy environment, with a friendly, down‑to‑earth manner.
- You have experience in reception, front‑of‑house or a similar customer‑facing role.
- You’re confident using Microsoft 365 and picking up new systems.
- You’re comfortable applying and, when needed, reinforcing fire, health and safety procedures.
