Job Summary
We are seeking an energetic and detail-oriented Receptionist/Administrator to join our team based at Changing Waste Ltd. In this varied role, you will be the first point of contact for visitors and callers, ensuring smooth daily operations, carrying out specific site based checks and providing a variety of administrative support. Your proactive attitude will help foster a welcoming environment and keep our office running efficiently. Please note that going onto the working waste transfer site will be required for some tasks.
Duties
Daily Tasks:
- Greet Visitors
- Monitoring phones (Taking calls and messages, Transferring calls to correct departments)
- Managing email inboxes
- Completing purchase requisitions and raise purchase orders through to completion
- Control site desk & meeting room bookings
- Ensuring the office is organised, having all areas are tidy with everything stored in it's designated place
- Checking UAttend and Lobbytrack to ensure staff and visitor sign in process is adhered to
- Control daily deliveries and distribute accordingly
Weekly Tasks
- Scan and file permits & file correctly.
- Filing delivery notes.
- replenish vending machines and reorder stock as required
- Attaching completed PO forms to correct PO Number on WR1.
- Ordering Boiler fuel – liaising with relevant stakeholders
- Refilling air fresheners
- Check septic tank level, liaise with Customer Operations Coordinator as appropriate
- Assist in induction requirements - set up of U-attend
Monthly Tasks
- Stationary stock check and ordering stock all three sites
- Janitorial stock check and ordering stock all three sites
- Waste oil & fats stock check
- Flogas tank checks
- Coffee machine cleaning
- Arranging boiler service
- Site diesel level check and order as appropriate
- Site Fire Marshal
- Site First Aider
- Other administrative work when required to support other departments.
Requirements
- Proven office experience with strong organisational skills
- Previous administrative experience demonstrating attention to detail and efficiency
- Excellent communication skills, both verbal and written
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to multitask effectively in a fast-paced environment
- Friendly demeanor with a proactive approach to problem-solving
- Knowledge of SAP/WR1 would be advantageous
Working days / hours:
Monday to Friday/9am to 3pm (inclusive of 30 minute unpaid break daily)
Salary: £19,525 based on a completed working week of 27.5 hours
