Role Overview
The Office Manager is responsible for overseeing the administrative and customer service functions across Total Sports Coaching.
This role focuses on office organisation, communication, finance administration, football programme administration, and maintaining effective systems to support the smooth running of the business.
You will act as a central point of contact for staff, parents, schools, and Directors, ensuring a professional and efficient office environment.
Key Responsibilities
1. Customer Communication
- Respond to parent, school, and partner enquiries
- Maintain professional communication across all platforms
- Support customer queries and general office correspondence
- Manage company inboxes and communications
2. Administration & Record Keeping
- Maintain accurate filing and record systems
- Create and manage registers and attendance records
- Ensure documents and records are kept up to date
- Maintain player, member, and programme databases
- Process registrations, bookings, and general administration tasks
- Provide administrative support to Directors
- Assist with scheduling, meetings, and general office coordination
- Support wider business administration tasks as required
3. Finance Administration
- Process invoices, purchase orders, and receipts
- Track payments and overdue balances
- Support general finance administration tasks
- Monitor programme payments and assist with payment chasing where required
4. Football & Programme Administration
- Support the administration of academies, scholars, tours, and football programmes
- Maintain fixture, registration, and player information
- Coordinate programme communications and documentation
- Assist with tour administration and event preparation
- Support website and booking system updates
- Liaise with coaches, schools, parents, and partners where required
5. Office Management
- Maintain office supplies and stock levels
- Support health & safety administration
- Ensure office systems and procedures are organised and effective
- Coordinate internal administration processes
Person Specification
Essential
- Strong organisational skills
- Previous administration experience
- Good communication skills
- High attention to detail
- Ability to manage multiple tasks effectively
- Confident using digital systems and Microsoft Office
Desirable
- Education or sports background
- Safeguarding knowledge
- Experience within football or sports administration
Pay: £25,000.00-£27,000.00 per year
