The Role
We are looking for a highly organised and customer-focused Hire & Events Officer to support the delivery of venue hires and events across our theatre spaces.
Working closely with the Operations Director, Bar & Events Manager, and colleagues across front of house, technical, marketing and finance teams, you will be the main contact for hire clients and play an important role in generating income through venue hire and events.
Key Responsibilities
Venue Hire Administration
- Act as the first point of contact for venue hire enquiries.
- Manage bookings from initial enquiry through to contract confirmation.
- Prepare quotations, contracts and invoices.
- Maintain accurate booking records and schedules.
- Process payments and work with finance colleagues to ensure accurate invoicing.
Event Coordination
- Support the planning and delivery of venue hire events.
- Produce event briefs and coordinate requirements across departments.
- Conduct site visits and client meetings.
- Attend events as required to ensure successful delivery.
- Manage post-event administration, feedback and follow-up actions.
Business Development
- Help achieve annual venue hire income targets.
- Support the promotion of the theatre's hire offer.
- Build relationships with existing clients and identify new opportunities.
- Produce regular reports on activity and performance.
Operations Support
- Provide administrative support across the Operations Department.
- Attend meetings and record actions.
- Act as a point of contact for visitors and contractors.
- Support operational systems, processes and policies.
About You
Essential Skills & Experience
- Experience in venue hire, event coordination, hospitality administration or a similar role.
- Excellent organisational and multitasking skills.
- Strong written and verbal communication skills.
- A proactive and customer-focused approach.
- Experience using booking systems, CRM platforms and Microsoft Office.
- Flexibility to work occasional evenings and weekends when required.
Desirable
- Experience within a theatre, arts venue or cultural organisation.
- Knowledge of health and safety within an events environment.
- Experience supporting commercial activity or income generation within a charity or not-for-profit organisation.
Salary & Benefits
- £27,000 to £28,000 per annum
- 29 days holiday including public holidays, increasing with service

Working Pattern
- Full-time, permanent position
- 35 hours per week, Monday to Friday
- Flexibility required to support events during early mornings, evenings and weekends when necessary
- Primarily based on-site at the Citizens Theatre, Glasgow, with occasional remote working opportunities in line with company policy.
