Job Summary

Reporting to the Payroll Manager, the position will be key in providing a professional and efficient payroll service to GRAHAM’s employees and managers. The Trainee Payroll Administrator will primarily provide financial administrative support to our UK and Ireland employees, including accurate entry and processing of timesheets and expenses. The role also involves general departmental administration and serving as a key point of contact for payroll-related employee queries.
Comprehensive on the job training in all aspects of Payroll will be provided in house and Professional body courses when necessary.

Job Description
The Trainee Payroll Administrator will primarily be trained on:
- UK payroll systems and legislation
- Weekly payroll processing and timesheet management
- Payroll software and internal systems used across the business
- Data entry, accuracy checks, and reporting with extensive use of Excel
- Handling employee enquiries in person, over the phone, and through virtual channels, providing payroll support and proactively chasing required information.
- Confidentiality and data protection best practices (GDPR)
- Preparation for professional qualifications, including CIPP accreditation
This job description is intended to give the post holder an appreciation of the role envisaged for the Trainee Payroll Administrator and the range of duties to be undertaken. It does not attempt to detail every activity. Specific tasks and objectives will be agreed with the post holder at regular intervals.
Personal Specification
Essential
- Strong foundational IT skills with good working knowledge of Microsoft Office, with confident and competent use of Excel
- Strong attention to detail and excellent organisational skills
- Takes responsibility for progressing work independently while asking for clarification when required.
- A genuine interest in payroll, finance, or administrative work
- Ability to meet tight deadlines and manage workload efficiently
- Effective communication skills—written, verbal, and virtual
- Adaptable and flexible, able to adjust to new processes and changes in a fast‑moving environment
- GCSEs in Maths and English at grade C or above (or equivalent)
- Awareness of GDPR principles and the importance of protecting personal data
- Flexibility to travel occasionally across the UK and Ireland
Desirable
- Previous experience in a payroll or finance-related role
- Confident using digital systems, with the ability to learn payroll and HR software and communicate effectively through platforms like Microsoft Teams.
- Knowledge of HMRC Payroll legislation
