The Chester Bluecoat Charity works to tackle the causes of poverty, disadvantage, and inequality in and around the City of Chester.
Being part of the leadership team of The Chester Bluecoat Charity, the part time Operations Manager will be responsible for the daily support of running the charity’s operations whilst working in collaboration to support the Chief Executive, Bluecoat and Buildings Managers.
The Operations Manager will be an experienced leader who has a genuine commitment to, and sympathy with, The Chester Bluecoat Charity objectives, maintaining its’ ethos and providing vision with the skills and abilities to drive the charity forwards.
Job purpose
The role will ensure that all operations are utilised in the most efficient way and will be responsible for the running of daily operations, supporting the Bluecoat and Buildings Managers, ensuring compliance with current legislation and health & safety requirements.
Key responsibilities
· Demonstrate leadership, management, and organisational skills, including fairness, impartiality and openness to new ideas and information.
· Promoting a culture of continuous improvement within The Chester Bluecoat Charity and contribute to an action plan to take this forward.
· Contribute to The Chester Bluecoat Charity’s Leadership Team and to the ongoing development of relevant business opportunities.
· Prepare and support the delivery of operational business plans ensuring that goals and objectives are achieved, monitored and reviewed.
· To proactively recognise the value of the staff and volunteers and provide encouragement and motivation for all to contribute to the vision of the charity.
· To use effective methods for gathering information for monitoring the performance, impact and social value of the services and maximise opportunities from this.
· To agree and coordinate annual budgets for operations.
· Provide financial and administrative support to the overall charity including:
- Updating and maintaining accounting ledgers, processing supplier invoices and other records;
- Detailing financial transactions which will include banking, invoices, staff expenses, journals, and petty cash reconciliation;
- Ensuring all invoices are raised and processed on time as required;
- Chasing debtors.
· Provide various operational support to the Bluecoat and Buildings Managers for example:
- Ongoing paperwork for tenants, new and departing;
- Arranging committee meetings, taking minutes and managing actions;
- Organising and assisting with resident review meetings;
- Dealing with resident concerns and complaints;
- Advertising vacancies and showing potential residents around the site.
Usual accountabilities
· To receive, store and process data (in whatever form or medium such data takes – e.g. electronic and/ or documented) in a confidential manner and in accordance with the Company’s agreed data management policies and GDPR regulations.
· To develop and attend team and charity meetings.
· To have regular supervision and review of targets.
· To always promote the conduct and ethos of the charity.
· To always understand and apply all charity policies and procedures in all areas of employment.
· To attend any relevant training to support continued professional development in line with the charity’s training policy.
To carry out such relevant and appropriate duties within the framework of the post and grade that, from time to time, may be required by management, in consultation with the post holder.
This role is 22.5 hours a week.
