Job Overview
The Farnham Maltings is looking for an organised and proactive Operations and Venue Hire Coordinator to join our busy Operations team. In this varied role, you will provide essential administrative and coordination support across our Operations and Venue Hire functions, helping to ensure the smooth day-to-day running of the organisation.
Objectives and Responsibilities
Operations Support
- Provide administrative support to the Head of Operations and Venue Operations Team.
- Maintain operational records, documentation and filing systems.
- Support compliance, training and maintenance administration.
- Assist with rota administration and workforce planning.
- Support the administration of incidents, actions, meetings and operational projects.
- Support the development and maintenance of operational systems and processes.
Venue Hire Support
- Act as a first point of contact for venue hire enquiries.
- Support customers through the enquiry and booking process.
- Maintain venue booking information within Artifax.
- Prepare contracts and booking documentation.
- Coordinate the collection of information from hirers.
- Support the Venue Coordinator with the administration of venue hire activity.
Coordination and Communication
- Support communication between Operations, Venue Hire and other departments.
- Help ensure information relating to events and activities is accurate and up to date.
- Assist with tracking operational tasks, actions and deadlines.
- Support effective information sharing across the organisation.
Administration and Systems
- Maintain accurate operational and venue hire records.
- Support stock control and ordering of stationery and operational consumables.
- Assist with reporting and information gathering.
- Ensure information is stored, managed and maintained accurately.
Customer Service
- Provide a professional and welcoming service to hirers, visitors and colleagues.
- Respond to enquiries in a timely and professional manner.
- Support a positive customer experience through effective administration and communication.
Experience, Skills, Qualifications
With experience in an administrative, coordination or support role, you're used to managing multiple priorities and deadlines, have a track record in maintaining accurate records and documentation and are able to communicate effectively with customers and colleagues.

Pay: £18,812.00 per year
