About the role
This is a customer-facing role. You will liaise directly with SSAS clients and professional third parties to support the smooth administration of SSAS pension schemes for business owners and trustees.
A SSAS is a type of occupational pension scheme used by business owners and directors. It can hold a range of assets and requires accurate administration, clear records, and professional communication.
You will manage day-to-day administration tasks, maintain accurate records, and communicate clearly with clients and colleagues. You will also need to adapt to changing priorities, respond promptly to queries, and take ownership of your workload.
You do not need pensions experience. We provide structured training, ongoing support, and development so you can build confidence and progress into a specialist role.

What you will do
Core administration and coordination
- Process day-to-day SSAS administration tasks to internal standards and deadlines
- Maintain accurate scheme and member records in internal systems
- Manage electronic files and document control so information is complete and easy to locate
- Use checklists and trackers to keep work organised and visible
Communication and stakeholder support
- Communicate professionally by email and phone with clients, advisers, solicitors, accountants, and pension providers
- Gather information, chase third parties, and keep clients and colleagues updated
- Handle queries in a calm, helpful way and escalate issues when needed
Quality and improvement
- Check work carefully, spot errors early, and raise questions when something does not look right
- Suggest improvements to templates, trackers, and processes
- Contribute to team standards so work stays consistent as the business grows
What success looks like
- You keep trackers and case notes up to date so anyone can see progress at a glance
- You follow through on actions without being chased and flag issues early
- You communicate clearly and consistently with clients and third parties
- You maintain high accuracy, with minimal rework needed from quality checks

You will start with:
- Structured onboarding and SSAS basics
- Systems training, templates, checklists, and file standards
- Shadowing and supervised tasks
You will then move on to:
- Managing straightforward administration tasks with support
- Building confidence in client communication and third-party chasing
- Regular feedback and coaching
As you progress, you will take on more responsibility, including:
- Increased ownership of your workload
- Stronger control of deadlines, trackers, and quality checks
- Contributing improvement ideas as you become more confident
What you need to succeed
You must have:
- Strong administration skills and a high level of accuracy
- Good numeracy and comfort with data checks and simple calculations
- Clear written communication and professional email habits
- Strong organisation skills and ability to manage multiple tasks
- Confidence using Microsoft Office (Outlook, Word, Excel)
- A proactive mindset and willingness to learn
- A consistent habit of taking ownership and following tasks through to completion
It helps if you have:
- Administration experience in pensions, banking, finance, legal, accountancy, or similar
- Customer service experience dealing with clients or professional stakeholders
- Experience using trackers, case management systems, or structured workflows
