About the Role
Policy Services is a Financial Adviser based in Linlithgow, Scotland.
We currently have an exciting full-time opportunity to join our administration
function. As a Policy Services Administrator, you will provide essential administrative
support across the business, working collaboratively with finance, partner support
and operational teams.
Your primary focus will be to ensure all work is completed accurately, efficiently and
within agreed timeframes, while delivering a high standard of service to clients,
advisers, providers and colleagues.
Key Responsibilities
- Provide day-to-day administrative support across Policy Services functions.
- Act as a point of contact for internal teams, clients, advisers and external providers.
- Handle and respond to enquiries via telephone, email and written correspondence, escalating where appropriate.
- Process, update and maintain accurate records across internal systems, ensuring clear notes and audit trails.
- Support the preparation, checking and processing of documents, forms, reports and correspondence with a high degree of accuracy.
- Request, gather and reconcile information from providers and internal sources to support task completion.
- Process data and transactions in line with internal procedures and agreed service standards.
- Monitor workflows, track outstanding actions and ensure work is progressed within agreed timescales.
- Identify, investigate or escalate discrepancies, queries or unmatched income items where required
- Manage incoming and outgoing post, including secure handling of sensitive or confidential information.
- Liaise with providers, advisers and internal teams to resolve queries and support the smooth completion of work
- Ensure all activities are completed in line with company procedures and regulatory expectations.
- Work collaboratively across the administration team, providing flexible support where required.
The Role Structure
As a Policy Services Administrator, you will report to a Team Leader and form part
of the wider administration team, supporting multiple departments in line with
business priorities.
You will initially be allocated to work within our Partner Support and Finance areas;
however, this may change over time in line with business demand and priorities.
Full training will be provided, including the use of internal systems and processes
developed by our IT team.

- Confidence using Microsoft Office and internal systems (training provided where required).

- Standard Grade English and Maths at Credit level (or equivalent) preferred
- Previous experience in an administrative or financial services role is desirable.
