Service Manager Job Description

Position Summary
Aspire Day Service Ltd is seeking a dedicated, organised and proactive individual to join our team as Service Manager.
Reporting to the Registered Manager, the Service Manager will oversee the day-to-day operations of our care service, ensuring the delivery of safe, effective and person-centred support. The role is responsible for staff rostering, service coordination, quality assurance, compliance monitoring, staff leadership and supporting the Registered Manager in maintaining high standards across the organisation.
The Service Manager will supervise the Team Leader, monitor the quality of care provision, lead on service improvements, complete audits and investigations where required, and ensure the service remains compliant with all relevant legislation and CQC standards.
Responsibilities1. Rostering Staff
- Create and manage staff schedules, ensuring appropriate staffing levels across all services.
- Coordinate staff availability, annual leave requests and training commitments.
- Manage short notice changes, sickness absence and emergency cover.
- Ensure staffing levels remain safe and responsive to service user needs.
2. Organising Daily Support
- Prioritise and delegate daily tasks to ensure high-quality, person-centred support.
- Coordinate with internal departments and external professionals to facilitate effective support.
- Monitor the delivery of care to ensure support plans are followed consistently.
- Provide operational support to staff and respond to issues as they arise.
3. Support Plan and Risk Assessment Implementation
- Ensure individual support plans and risk assessments are implemented accurately.
- Review and update support plans and risk assessments in partnership with service users, families and professionals.
- Complete regular quality checks to ensure documentation remains current and effective.
- Monitor outcomes and ensure care continues to meet individual needs.
4. Quality Assurance and Compliance
- Continuously monitor the quality of care provision across all services.
- Complete regular audits including care records, medication, health and safety, safeguarding, staff files and compliance.
- Produce audit reports and implement action plans to address identified improvements.
- Monitor progress against action plans and report findings to the Registered Manager.
- Support the service in maintaining compliance with CQC regulations and company policies.
- Promote a culture of continuous improvement throughout the service.
5. Service User Reviews
- Schedule, coordinate and complete regular service user reviews.
- Ensure reviews are person-centred and involve families, advocates and professionals where appropriate.
- Monitor outcomes and ensure agreed actions are implemented.
- Identify changing needs and ensure support plans are updated accordingly.
6. Accident and Incident Management
- Review all accidents, incidents and near misses.
- Identify trends and implement preventative measures where appropriate.
- Complete investigations into significant incidents where required.
- Ensure lessons learned are communicated to the wider team.
- Report findings and recommendations to the Registered Manager.
7. Staff Supervision and Development
- Supervise and support the Team Leader in the effective delivery of their role.
- Provide leadership, guidance and coaching to the wider staff team.
- Conduct regular supervisions, probation reviews and annual appraisals.
- Support performance management processes where required.
- Identify training needs and contribute to workforce development.
- Promote a positive, inclusive and supportive working environment.
8. Employee Relations and Investigations
- Undertake investigations into employee conduct, disciplinary matters and other workplace concerns as required.
- Prepare investigation reports and recommendations for the Registered Manager.
- Attend disciplinary, grievance and capability meetings where appropriate.
- Ensure all employee relations matters are managed fairly, consistently and confidentially in line with company policy and employment legislation.
9. Monitoring and Reporting
- Monitor service performance and quality standards on an ongoing basis.
- Produce regular reports for the Registered Manager on service performance, compliance, staffing and quality assurance.
- Escalate concerns and risks promptly.
- Assist with implementing service improvements and organisational objectives.
10. Collaboration and Communication
- Foster positive and open communication with service users and their families, addressing concerns promptly.
- Work closely with the Registered Manager and wider management team to ensure the smooth operation of the service.
- Maintain effective relationships with healthcare professionals, commissioners, local authorities and other external stakeholders.
- Represent Aspire Day Service Ltd professionally at meetings where required.
Qualifications and Skills1. Experience and Knowledge
- Previous experience in a supervisory or management role within adult social care.
- Sound understanding of care service operations, staffing, support planning and risk assessment.
- Good knowledge of CQC Fundamental Standards, safeguarding legislation and Health and Social Care regulations.
- Experience of quality assurance, audits and service improvement is desirable.
- Experience undertaking investigations and managing employee relations matters is desirable.

- Competent in Microsoft Office applications.
- Experience using electronic care management systems and staff rostering software.
- Ability to maintain accurate electronic records and reports.
6. Qualifications
- Minimum Level 3 Diploma in Health and Social Care (or equivalent).
- Willingness to undertake and successfully complete the Level 5 Diploma in Leadership and Management for Adult Care if not already achieved.
- Full UK driving licence and access to a vehicle is desirable.
7. On-Call Responsibilities
- Flexibility to participate in the management on-call rota.
- Provide support and operational decision-making outside normal working hours when rostered.
