An exciting opportunity has become available for a Group Travel Sales Co-ordinator to join our friendly and dynamic team.
Galloway is one of East Anglia's leading coach, bus and tour operators, with over 50 years' experience delivering educational tours, private hire and day excursions throughout the UK and Europe.
This is a varied and rewarding role where no two days are the same. Working within a small, supportive team, you'll play a key role in planning and coordinating memorable travel experiences while delivering exceptional customer service. We're looking for someone who is organised, enthusiastic, creative and happy to roll up their sleeves to support colleagues whenever needed.
Key Responsibilities
Your primary responsibility will be to coordinate educational and group travel bookings from initial enquiry through to departure. This includes school tours, cadet groups, adult associations, clubs and other organised group travel across the UK and Europe.
Working alongside our experienced team, you will ensure every tour is carefully planned and delivered to the highest standard by liaising with customers, suppliers and internal departments.
Your responsibilities will include:
- Managing enquiries and converting them into confirmed bookings.
- Assist with creating bespoke itineraries for schools, cadet organisations and adult groups that meet customers' objectives and budgets.
- Preparing quotations, booking confirmations, travel documentation and passenger information.
- Assist with organising transport, accommodation, ferry crossings, flights and attractions through approved suppliers.
- Liaising with hotels, attractions and guides throughout Europe.
- Working closely with our internal operations team to ensure all departures run smoothly.
- Monitoring bookings, processing payments and supporting credit control activities.
- Opportunity to attend familiarisation trips in the UK and Europe.
- Maintaining accurate booking records using company systems.
- Providing excellent customer service throughout the booking journey and responding promptly to customer enquiries, feedback and complaints.
- Identifying opportunities to grow existing accounts and develop new business alongside the Marketing team.
- Helping in the creation of engaging blogs, website content and customer communications to promote Galloway's educational and group travel programmes.
- Supporting marketing campaigns with content for social media, newsletters and promotional material.
- Ensuring compliance with ABTA, ATOL and relevant transport regulations.
- Working alongside our Day Tours Co-ordinator to provide support and holiday cover.
- Taking a flexible approach to supporting colleagues and assisting with wider business projects as required. As part of a small team, everyone contributes to delivering an outstanding customer experience
Skills & Experience
We're looking for someone who enjoys building relationships, solving problems and delivering exceptional customer service.
Essential
- Excellent customer service and communication skills.
- Strong written English with the ability to produce engaging blogs, website content and customer communications.
- Excellent organisational skills and attention to detail.
- Ability to manage multiple projects and prioritise competing deadlines.
- Confident communicator with customers, suppliers and colleagues.
- Good IT skills, including Microsoft Office.
- A proactive, flexible attitude and willingness to support colleagues across different areas of the business.
- Ability to work independently while also contributing positively within a close-knit team.
Desirable
- Experience within the travel, tourism or transport industry.
- Knowledge of educational travel or group travel planning.
- Experience preparing European travel itineraries.
- Familiarity with destinations including Ypres, Normandy, Berlin, Arras, Koblenz and other educational or cultural locations.
- Knowledge of EU Drivers' Hours Regulations.
- Experience using Coach Manager, Moonstride or TBS.
- Experience with content creation, blogs, social media or digital marketing.
Full training will be provided for the right candidate with the enthusiasm and willingness to learn.
Salary
Competitive, dependent on experience.
Hours
Flexible hours available for the right candidate with a minimum commitment of 30 hours per week, worked across four days or 37.5 over five days.
Location
Based at our office in central Leigh-on-Sea, Essex, close to Old Leigh, The Broadway and Leigh Railway Station.
Hybrid working may be available following successful completion of probation, where appropriate.
