Job Summary
We are seeking a professional and friendly Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service and administrative support. This role requires strong organisational skills, attention to detail, and the ability to manage multiple tasks efficiently in a busy office environment.
Responsibilities
- Greet and welcome visitors in a courteous manner, ensuring a positive first impression.
- Answer and direct phone calls using excellent phone etiquette.
- Manage the reception area, ensuring it is tidy and presentable at all times.
- Handle incoming and outgoing correspondence, including emails and postal mail.
- Perform data entry tasks accurately into our computerised systems.
- Assist with administrative duties such as filing, photocopying, and maintaining records.
- Utilise Google Suite for scheduling appointments and managing calendars.
- Support accounting functions by using QuickBooks for invoicing and financial record keeping as needed.
- Collaborate with other team members to ensure smooth office operations.
Skills
- Proficient in office administration with strong organisational abilities.
- Experience with QuickBooks is advantageous but not essential.
- Excellent phone etiquette and communication skills.
- Familiarity with Google Suite applications (Docs, Sheets, Calendar).
- Ability to type efficiently and accurately for data entry tasks.
- Strong clerical skills with attention to detail in all aspects of work.
- A proactive approach to problem-solving and multitasking in a fast-paced environment.
