Role Overview
We are seeking a highly motivated and detail-oriented individual to join our team. In this pivotal role, you will provide vital support to the Quality & Information Manager while collaborating closely with cross-functional teams. You will use your analytical expertise to extract actionable insights, identify trends, and uncover opportunities for continuous organisational improvement.
Key Responsibilities
1. Quality & Information Support
- Data Management: Maintain and update client and therapy records within the Integrated Management System (IMS).
- Survey & Feedback Processing: Code and record completed client questionnaires.
- External Provider Tracking: Log attendance data from external suppliers (e.g., hydrotherapy pools) and input session details for therapists without direct IT access.
- CRM Integration: Import and create new client records in the fundraising CRM (Beacon) when needed.
- Operational Continuity: Serve as a backup to the Quality & Information Manager to generate therapist payroll extracts when required.
- General Support: Assist the Quality & Information Manager with ad-hoc reporting and operational tasks.
2. Fundraising Data & CRM Management
- Data Cleansing: Maintain database integrity by regularly de-duplicating records within the CRM.
- KPI Reporting: Extract monthly CRM data to generate KPI reports for the Head of Fundraising, providing initial analytical commentary and insights.
- Campaign Support: Build, manage, and track campaigns and events in the CRM, ensuring all participant and donor data is seamlessly imported and updated.
- Donor Insights: Filter, manipulate, and extract data to analyse donor journeys and optimise engagement strategies.
- Campaign Management: Assist with the Donation Station fundraising campaign, collaborating with marketing on promotions and delivering monthly performance reports.
- Direct Mail & Lottery Support: Produce targeted data extracts for direct mail shots, reconcile player extracts, and support external Lottery Management operations.
3. Financial Data & Compliance
- Income Reconciliation: Reconcile weekly online income (website, regular giving, JustGiving, TryBooking, PayPal, Facebook, etc.) against BACS payments and log them accurately into Beacon CRM.
- Payment Processing: Record cash and cheque payments in the CRM, allocating funds accurately according to specific streams and payouts.
- Gift Aid Compliance: Upload Gift Aid declarations, maintain precise records, and ensure full compliance with HMRC regulations.
- Income Coding: Adhere strictly to guidelines for coding all incoming funds, including restricted income.
- Audit Preparation: Work with the Head of Finance to ensure imported data accurately reflects charity accounts for audit purposes.
- Reporting & Design: Advise on the structure, design, and preparation of database reports, creating complex custom reports as requested.
- Data Protection & GDPR: Maintain absolute confidentiality and security of donor details, adhering rigorously to GDPR and organisational data policies.
4. Organisational Responsibilities
- Proactive Engagement: Contribute positively to team effectiveness and organisational growth.
- Workload Management: Independently manage daily time and tasks using organisational tools (e.g., Microsoft Outlook).
- Flexibility: Maintain a flexible approach to working hours and patterns based on organisational needs.
- Continuous Development: Participate in team meetings, training sessions, and charity events.
- Compliance & Values: Uphold all organisational policies and complete mandatory training, while embodying the charity’s core values and mission.
- Ad-hoc Duties: Undertake additional tasks as reasonably requested by the Executive Leadership Team.
Person Specification (Key Qualifications)
- Experience: Proven experience working with CRMs (for example, Beacon) and manipulating datasets.
- Skills: Strong analytical ability, advanced Excel skills, high attention to detail, and the ability to devise appropriate reporting strategies.
- Attributes: Self-starter with excellent time-management skills, strong communication, and a passion for supporting the charity sector.
Pay: £15,846.00 per year
