Job Description
We are seeking a highly organised, proactive, and professional Assistant to provide dedicated support to the Global Head of Data and the wider Global Data Group leadership team.
How you'll spend your time...

Proactively manage complex diaries, meetings, travel arrangements, and logistics for the Global Head of Data and senior leadership team.

Coordinate leadership forums, governance meetings, and stakeholder engagements.

Arrange domestic and international travel, ensuring compliance with company policy.

Organise team events, offsites, and departmental meetings.

Manage calls, emails, correspondence, and key communications on behalf of senior leaders.

Support the wider Data team with operational and administrative activities, including onboarding, offboarding, office logistics, and systems access.

Prepare and format presentations, reports, agendas, meeting materials, and business correspondence.

Track actions, follow up on deliverables, and support the execution of key initiatives.

Manage expenses, records, filing systems, and departmental documentation.

Maintain team distribution lists, absence records, and gifts and entertainment logs in line with company policies.

Coordinate meeting papers, couriers, and other general administrative requirements.

Build a strong understanding of the Data function to anticipate business needs and provide proactive support.

Partner with the Data Strategy Execution Manager to maintain and enhance the Data Group's SharePoint and Teams sites, ensuring content remains accurate, organised, and accessible.

Extensive experience managing multiple complex diaries in a fast-paced environment.

Strong organisational, administrative, and time-management skills, with excellent attention to detail and the ability to manage competing priorities.

Ability to handle confidential and sensitive business and personal information with discretion.

Experience working across multiple locations and time zones, building effective relationships remotely.

Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.

Strong interpersonal and communication skills, both written and verbal, with the ability to engage effectively at all levels.

Flexible, adaptable, and able to respond to changing priorities, including short-notice changes and cancellations.

Proven ability to work under pressure, meet tight deadlines, and maintain high standards of accuracy.

Self-motivated, proactive, and capable of working independently using sound judgement and initiative.

Willingness to work outside normal business hours when required to support business needs
