Job Summary
We are seeking a highly organised and detail-oriented Senior Administrator to join our financial services team. The successful candidate will play a pivotal role in managing client portfolios and supporting financial planning activities. This position offers an excellent opportunity for individuals with strong analysis skills, exceptional communication abilities, and a background in administrative functions within the financial sector. The Senior Administrator will be responsible for ensuring smooth operations, maintaining high standards of client service, and contributing to the overall efficiency of our wealth management services but also having the ability to be involved with change and improving current processes.
As a Senior Administrator for JPA Financial Planning you will provide essential technical and administrative support within the Partner Practice, ensuring the smooth processing of all Client servicing and Wealth tasks and a high-quality client service experience.
Core Responsibilities
- Client Servicing: Managing the end-to-end client review process, including preparing documentation, annual review letters, including Drawdown letters, and presentation packs.
- Call Handling – This includes receiving calls from clients and dealing with enquiries to making outbound calls to book clients in for their financial annual reviews.
- Case Management: Liaising with SJP Head Office, Senior Team members and third-party providers to gather information to either close queries or chase information. Ensuring deadlines are met and communications is clear and concise
- Task Management - using our CRM system and Salesforce to manage workload and ensure tasks are completed in a timely manner. Use reports for outstanding reviews to prioritise any that are overdue and aim to schedule Clients in for their annual review within the quarter they are due in.
- Liaising with Key Stakeholders – ensuring communication is clear across all of key stakeholders, i.e. speaking to our Admin Centre to ensure processes are followed correctly and more importantly keeping the advisers up to date on cases and client queries.
- Data Maintenance: Ensuring all client records are accurate and compliant using the Salesforce CRM platform.
- General Servicing tasks: Including the deceased client process and vulnerable clients, Birthday cards and ensuring clients details are kept up to date.
- Immediate needs Annuity - aiding the smooth processing of application forms, chasing providers and collating data.
- Financial Tasks: Executing fund switches, processing client withdrawals and completing the letters
- Complex Servicing Queries: Producing Deeds of Assignment and handling queries on issues relating to bonds and documents. Trust Paperwork completion
- Drawdown tasks: producing and ensuring all documentation for clients taking crystalized funds are documented correctly
- Income Drawdown Tasks: Review letters with income, Adhoc RA withdrawal letters from a crystalised pot, RA Crystalisation process on MyPractice, changes to income requests, Bond withdrawal process, unit Trust Withdrawal process, changes to Income Requests
- Compliance: Adhering strictly to FCA regulatory requirements and internal SJP standards for all correspondence and file maintenance.
Required Skills & Qualifications
- Experience: Typically requires at least 2 years of experience in a regulated financial services environment, with a strong preference for candidates familiar with SJP systems.
- Ideally with St James’s Place Wealth Management Experience
- Technical Proficiency: Proficiency in Microsoft Office and CRM systems like Salesforce is desirable.
- Soft Skills: Exceptional attention to detail, strong verbal/written communication for client interaction, and the ability to work independently or as part of a remote team.

Pay: £25,500.00-£32,500.00 per year
