Receptionist / Administrator – GP Practice
We are looking for a caring, motivated and reliable Receptionist/Administrator to join our friendly GP practice team. You will play an important role in supporting our patients and ensuring that the reception and administrative functions of the practice run smoothly.
This is a full time position of 35 hours per week.
Working hours will be scheduled Monday to Friday, between 8:00am and 6:30pm. Exact working pattern will be discussed and confirmed upon appointment. Flexibility is important, as the role includes covering annual leave and staff absences.
The successful candidate will work across both of our practice sites in Grangetown and Butetown.
Skills and Experience
We are looking for someone who:
- Has at least two years' experience in a comparable healthcare or administrative role.
- Previous experience in primary care or an NHS setting is desirable but not essential.
- Has excellent communication and interpersonal skills, with a professional, friendly and courteous telephone manner.
- Is empathetic, approachable and committed to providing a high standard of patient care.
- Is confident using IT, including Outlook, Word and Excel, with the ability to quickly learn and use EMIS and other clinical systems.
- Is well organised and able to remain calm, professional and patient-focused in a busy environment.
- Is proactive, able to use initiative, prioritise workload and take responsibility for completing tasks without constant supervision.
Duties and Responsibilities
- Provide a welcoming, professional and efficient front desk service to patients and visitors.
- Handle incoming and outgoing telephone calls professionally and courteously, assisting with appointments, prescriptions, and general enquiries.
- Where appropriate, signpost patients to the most suitable service in accordance with practice procedures.
- Register new patients and process repeat prescription requests in line with practice procedures.
- Liaise with external healthcare and other professionals to share and obtain patient information appropriately, in line with practice policies, NHS guidelines, confidentiality and information governance standards.
- Maintain a high level of professionalism, discretion and confidentiality in all interactions, ensuring that patient information is protected at all times.
- Carry out general administrative duties, including scanning, filing, photocopying, data entry and maintaining accurate patient records.
- Maintain consulting rooms, including restocking and clearing rooms as required.
- Keep reception and patient areas clean, tidy and well maintained.
- Handle waste safely and appropriately in accordance with practice and NHS policies.
- Undertake additional reception and support duties, including chaperoning patients when required.
- Work collaboratively with colleagues while taking responsibility for your own workload and supporting the wider practice team.
- Report any concerns or issues that may affect patient care or the smooth running of the practice.
