We have an exciting opportunity for a full-time administration assistant to join our team in Stoke on Trent.
The successful applicant will join an enthusiastic and busy team. They will support the end-to-end service delivery requirements for our patients, including speedy and accurate response to referral and appointment management, order processing, answering patient telephone calls and the support of clinicians within the service. As well as this the role holder will have other administration duties, ensuring accuracy of information and maintenance of department systems and processes.
Key Responsibilities:
- Manage the reception area, ensuring it is clean, presentable, and secure
- Act as the positive first point of contact for Opcare
- Make, change, and monitor appointments in line with priority and KPIs
- Receive and make telephone calls to patients and healthcare professionals
- Respond to emails professionally via Opcare reception mailboxes
- Use initiative and logic to answer minor patient enquiries.
- Oversee patient and confidential information in line with Data Security policies.
- Support the team in delivering a high-quality service to patients.
- Referral management, accurately adding new patient details to systems and processing referral status in line with defined pathways
- Perform additional administrative tasks as required e.g., scanning notes, writing letters
- Book goods in/out, process orders, manage shipping
Skills and Experience:
Essential:
· Ability to manage time efficiently
· Ability to learn quickly and follow instructions
· Excellent communication and teamwork skills
· Excellent organisational and prioritisation skills
· Excellent written and verbal communication skills
· Microsoft excel and word experience
· Able to use own initiative and seek advice when required
· Good team player and excellent customer service skills
Desirable:
· Customer service and administration work

· Order processing and data entry using in house systems
Qualifications:
· No formal qualifications are required for this post, but a good standard level of education, alongside demonstrated administration experience is desirable.
