Job Overview
We are looking for an organised, proactive and detail-oriented Property Maintenance Administrator to join our growing team.
This is a fast-paced role where you will be responsible for coordinating reactive maintenance works, scheduling operatives, liaising with clients and tenants, and ensuring all jobs are accurately managed from start to finish. Attention to detail, excellent communication and the ability to prioritise multiple tasks are essential.
Key Responsibilities
- Receive, log and prioritise reactive maintenance requests.
- Schedule and coordinate maintenance operatives and subcontractors.
- Liaise with clients, tenants and contractors regarding appointments and job updates.
- Maintain accurate and up-to-date records within our job management systems.
- Ensure all job notes, communications and actions are recorded promptly and thoroughly.
- Monitor outstanding works and proactively chase updates to ensure timely completion.
- Upload certificates and supporting documentation to client portals where required.
- Raise purchase orders and assist with the coordination of remedial works.
- Communicate any delays or issues to clients and work towards suitable solutions.
- Assist with general administrative duties to support the maintenance department.
- Follow company procedures and maintain a high standard of accuracy and organisation at all times.
Required Skills & Experience
- Previous experience in a maintenance administration, scheduling or coordination role (preferred).
- Excellent organisational, communication and time management skills.
- Ability to prioritise a busy workload and manage multiple tasks simultaneously.
- Strong attention to detail and a commitment to maintaining accurate records.
- Confident using computer systems and learning new software.
- A proactive approach with the ability to work independently and as part of a team.
- Strong problem-solving skills and the ability to remain calm under pressure.
