As a Hire Controller, you will accurately and effectively manage the delivery and collection of equipment for the Short-Term Hire Department, coordinating nationwide operations through the Protean system. You will play a key role in supporting both the Sales and Operational teams while ensuring an excellent customer experience.
- Set up hire agreements and allocate equipment, ensuring all internal processes are followed.
- Liaise with Service Technicians and Yard Operatives to arrange pre-hire inspections.
- Plan and coordinate the delivery and collection of equipment using the internal delivery fleet.
- Ensure equipment is prepared and ready for hire prior to customer delivery.
- Monitor GA1 certification status to ensure all equipment is compliant before being placed on hire.
- Coordinate GA1 inspections with Allianz engineers and equipment locations.
- Accurately raise hire contracts, ensuring all on-hire and off-hire dates are correctly entered into the Protean system.
- Ensure contracts that are off-hired before month-end are closed and invoiced promptly.
- Monitor equipment availability and work closely with service teams to minimise downtime and maximise fleet utilisation.
- Prepare and provide hire quotations to customers in a timely manner.
- Identify and communicate sales opportunities and lost sales information to the Business Development team.
- Support the Sales team in meeting customer requirements and identifying opportunities for new product offerings.
- Assist with customer satisfaction surveys and help maintain strong client relationships.
- Work towards targets and objectives set by the Short-Term Hire Manager.
- Handle customer enquiries and concerns in a professional and timely manner.
- Produce daily and weekly KPI reports.
- Keep customers informed of delivery and collection schedules and any updates.
- Take responsibility for your own health and safety, as well as that of your colleagues, ensuring company policies and procedures are followed at all times.
- Wear the appropriate PPE, including high-visibility clothing and safety footwear, when required.
- Strong geographical knowledge.
- Excellent communication and customer service skills.
- Ability to work independently and use your own initiative.
- Strong organisational and planning skills.
- Ability to work effectively under pressure and manage multiple priorities.
- Forklift Truck Licence (desirable).
