Lynx Construction Group is a growing construction company based in Fleet. Having recently launched a new business in January, the group is expanding, and this role is expected to evolve with new responsibilities over time.
Role Overview
We are looking for a strong, adaptable and highly organised Project Administrator to support project, site and office administration across multiple companies within the group. This is a varied, hands-on role that requires the flexibility to juggle competing priorities, a willingness to support other departments beyond the core job description, and a genuine desire to “go the extra mile” for the team.
Key ResponsibilitiesProject Administration – Main Projects
- Sainsbury’s Information channel – set up and manage Teams channels and SharePoint pages
- Support the Stats and Feasibility Coordinator role in their absence
- Archiving of project information
- SWMP – waste transfer notes to Project Hive
Site Administration
- Health & Safety administration, including RAMS and end-of-site files
- Coordinate subcontractor risk assessments and method statements
- Site set-up, including inductions, notice boards and site box information
- Site liaison
- Collating and sending paperwork weekly for rollout jobs such as Royal Mail
- Logging and saving incoming drawings, distributing to relevant parties
- Setting up and maintaining site folders
- Sainsbury’s go-lives – ensuring POS signage is on site ready for launch
- Subcontractor insurance tracking
- Store emails
- Retail engagement
- Weekly reporting
Support Function to Commercial Director
- Compilation of contract information, including subcontractor warranties
Office Administration
- Post
- Fuel card mileage recording
- Licence checking
- Booking services and MOTs for company vans and cars
- Assisting with PQQ questionnaires and audits
- Occasional company LinkedIn posts
- Downloading drawings for rollouts and saving site survey photos to folders
- Coordinating calibration of site equipment
- Archiving
Additional
- Solaris – bookings and ensuring maintenance issues are logged and resolved
- Lettings – monitoring emails in the absence of other team members (currently minimal)
Person Specification
- Strong, adaptable and highly organised administrator, ideally with construction industry experience
- Flexibility to juggle priorities across different companies
- Willing to support other departments beyond the core job description and “go the extra mile”
- Clear, confident communicator with strong written and spoken English, given frequent external contact with sites, subcontractors and stores
- Prior office experience, competently handling emails, spreadsheets and correspondence
- Flexible and growth-oriented, as the role is expected to take on new responsibilities as the business grows
Technical Skills & Tools
- Proficient in Microsoft Office
- Confident using SharePoint, including setting up SharePoint pages
- Confident using Microsoft Teams, including managing Teams channels and adding/removing users
- Able to keep project documentation organised and keep all relevant parties informed
Salary & Benefits
- Salary: £30,000 - £32,000 per year
