Executive Assistant to the Director — TMC Construction
Location: TMC Construction site headquarters, Horsham, West Sussex (in-person) Hours: 20-25 hours/week to start, with scope to grow into a full-time role Start date: ASAP
About the role
This is not a standard office assistant role. This is a No.2-type hire — one of the most critical positions in the business right now.
TMC Construction is a design-led, high-end construction firm built from the ground up by a young entrepreneur who's scaling fast and doing things differently. We're not a volume builder — we're known for quality, design, and doing the job properly, and we're growing multiple businesses off the back of that reputation. Right now, too much of it lives in one person's head: the director's. The director also runs Waafer Developments and Marle & Co, so this role isn't confined to one business — you'll be supporting him across all three, keeping him organised and on top of things wherever his attention is needed. That means his time gets eaten by admin, chasing, and firefighting instead of the high-value work only he can do — winning new business, and building the company.
We need someone sharp enough to get inside that vision, translate it into real systems, and run point on the business day to day. Not someone who waits for instructions — someone who thinks a step ahead, spots what's missing, and builds the structure to fix it. What you'll be doing
- Owning the diary and inbox — not just booking things in, but actively protecting time and flagging what actually needs the director's attention vs. what you can handle or redirect yourself
- Owning the quote pipeline — chasing QS pricing, formatting and sending quotes, and proactively tracking what's outstanding so nothing sits and goes cold
- Designing and building the systems the business doesn't have yet — trackers, checklists, workflows — so critical info lives in a shared system instead of in someone's memory
- Using software and AI tools to get more done with less — automating the repetitive stuff, setting up smarter workflows, and generally running rings around anyone still doing this manually
- Coordinating materials and deliveries with site teams, catching "we need this tomorrow" requests before they become same-day emergencies
- General admin — invoicing, filing, supplier queries, phone calls — handled end to end, not just passed back for sign-off on every step
What we're looking for
- A true systems thinker — you naturally spot chaos and want to build the structure that fixes it, not just cope with it
- Genuinely strong with software and AI tools — not "can use email," but confident picking up new apps, automations, and AI tools to solve problems faster
- Sharp enough to understand the director's vision for the business and translate it into action, without needing everything spelled out
- A proactive self-starter — someone who spots what needs doing and gets on with it, rather than waiting to be asked
- Highly organised, with the confidence to chase people up and keep things moving without being reminded
- Good phone manner — will be liaising with subcontractors, suppliers, and clients
- Construction/trades industry experience is a bonus but not essential
- Discreet and trustworthy — this role has real visibility into the business and is treated as a No.2, not a hire further down the chain
- Own car and full driving licence — mandatory, as you'll be moving between sites and businesses
