Responsibilities
- Manage daily office operations, including scheduling appointments and coordinating meetings to keep the workflow seamless.
- Handle incoming calls with professionalism and courtesy, directing inquiries to the appropriate departments or team members.
- Maintain accurate records through data entry and file management using Microsoft Office, Google Workspace, and QuickBooks.
- Prepare correspondence, reports, and presentations that support team projects and internal communications.
- Oversee supply inventory, order office supplies as needed, and ensure the workspace remains organized and functional.
- Assist with billing, invoicing, and financial record keeping using QuickBooks to support accounting processes.
- Support administrative tasks such as mail distribution, maintaining calendars, and coordinating special events or office activities.
Skills
- Proven experience in an office environment with strong organizational abilities.
- Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and data entry tools.
- Prior administrative experience with familiarity in clerical tasks such as filing, photocopying, and document management.
- Strong phone etiquette with the ability to communicate clearly and professionally at all times.
- Exceptional organizational skills with attention to detail to manage multiple priorities efficiently.
- Fast and accurate typing skills to support quick data entry and correspondence preparation.
- Knowledge of QuickBooks accounting software is a plus for handling invoicing and financial records.
