Property Manager (Applications Administrator) required at local Lettings and Management Agency located in Kensington, Liverpool, L7.
General Duties
- Handle administrative requests and queries from senior managers
- Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
- Book in meetings as requested and take notes/minutes when required
- Manage the office diary
- Answer and direct phone calls when necessary
- Organise and schedule viewings
- Write and distribute emails, letters and complete any relevant forms
- Assist in the preparation of regularly scheduled appointments
- Maintain contact lists on the system
- Keep office clean and tidy where required
- Re-tag keys when necessary
- Sign in/out keys to contractors/tenants where necessary on Keyhive
- File and keep records up to date
- General admin duties as required
Application Specific Duties
- Respond to emails & manage the main “applications” inbox
- Manage and update the academic year spreadsheet
- Manage application submissions, upload and input the data onto 10Ninety, under the relevant letting/tenant pages
- Communicate with applicants in a timely manner
- Complete and maintain the tenancy checklists and manage the physical folder of documents (if applicable)
- Set up new tenancies as and when required
- Send out guarantor nomination emails
- Check all information that is received ensuring that MTR adhere to data protection and GDPR legislation
- Make informed decisions on affordability and eligibility based on tenant/guarantor information provided and credit checks
- Run credit checks on residential applicants and guarantors
- Ensure sanction checks and Right to Rent documents are completed and received for all tenants/guarantors where required.
- Upload credit check reports to the relevant tenant pages
- Send out APTs/guarantor forms for e-signature
- Sign on behalf of MTR and the landlord each document sent by signable for e-signature
- Ensure deposits are logged and protected with the DPS within 30 days of receipt by managing the deposits to be logged alerts
- Pay deposits to the DPS via Barclays.net
- Manage inventory bookings in the diary
- Manage cleaning contractors
- Manage move in process on the day
- Ensure legislative documents are sent out to the tenants before move in
- Ensure inventories are sent out to tenants on day of move in or as soon as possible
- Ensure council is updated with exemption details or tenant information at start of tenancy
- Ensure utility companies are notified of new move ins where required.
- Complete assignment of tenancies
- Manage renewals
- Discuss rent increases with landlords
- Complete assignment of tenancies when required
- Send out tenancy amendments when required
- Manage the Right to Rent expiry alert
- Manage the rent increase alert
The role will also develop overtime and will include more responsibilities once further training has been completed.
This is an admin heavy role - applicant must be organised and able to multitask effectively.
Applicant Requirements:
- Experience in an office environment is beneficial
- Education - A Level or higher
- Good communication skills
- Good organisational skills
- Good IT skills - management software training will be provided
- Full driving licence required (own vehicle is beneficial)
- Good work ethic
- Must be willing to learn
- Must be able to work as a team
- Must be trustworthy and a good communicator
Training will be provided, with the opportunity to earn further professional qualifications.
The candidate should be able to work under their own self-motivation to a high degree, and be able to manage their own workload effectively. They should be able to work alone, but effectively within existing support structures, and be able to take instruction from others. They should be able to build a good rapport with contractors, landlords and tenants.
Candidate must be reliable and honest, and have excellent attention to detail.
Experience is beneficial within lettings, but not necessarily required with the right applicant, however, must be able to multitask to a high degree and be incredibly organised.
Days of work: Monday - Friday (37.5 hrs) between 9.30 am - 5.30 pm.
