What’s the role?
In the role no two days are the same, from being the first port of call for all office related queries, providing support with meetings and events and supporting the wider facilities team on various projects.
We are looking for someone with exceptional communication, administrative skills and strong attention to detail. You’ll be an effective problem solver and someone who strives for continuous improvement.
This is a rewarding role which gives you the opportunity to collaborate with people at all levels within the business. Due to the nature of the role this position is completely office based.
What you’ll be doing:
- Responsible for the day to day management of the office ensuring it remains presentable, being independently able to see where improvements can be made and implement changes.
- First port of call for staff and contractor queries via various avenues including the Office Management mailbox. Responding to queries or cascading as required.
- Accountable for in-house provisions and services including - but not limited to - maintaining stock levels of office stationery, refreshments and electronics as required and providing in-house post and courier services.
- Assist in the planning and execution of office events (internal and external)
- Providing additional support on technical requirements, capacity requirements and catering.
- Providing diary management support to staff. As the owner of several office related calendars, provide ad- hoc support to staff with space in the office for meetings and events. Occasionally offering support with external venue booking.
- Responsible for the procurement and implementation of various office management systems including desk booking and access control. Being the gatekeeper for these systems including creating ID cards and running reporting as and when required.
- Maintaining Health and Safety standards within the office, including new starter H&S inductions, keeping H&S boards and presentations up to date, conducting periodic checks of the office to ensure staff and visitor safety. Coordinating and managing additional H&S maintenance visits and training.
- Being a dedicated Fire Marshall and championing training of other employees within this area
- Responsible for the ongoing management of the DSE platform (display screen equipment).
- Building professional relationships and work closely with third party contractors to ensure the office remains a legally compliant and safe place to work.
What you’ll bring to the role:
Essential:
- Detail oriented
- A self-starter with a solutions-focused approach is essential.
- Previous administrative experience is desirable but not essential.
- Flexible and always ready to go the extra mile.
- A great communicator who is friendly, calm and efficient – even on the busiest days
- Accurate, thorough, and well organised, with excellent attention to detail.
- Strong interpersonal and communication skills
- Excellent computer skills with experience using G-Suite
