About the role
UK Restoration Services specialises in the conservation, repair and restoration of historic, listed and significant buildings.
Due to continued growth, we are looking for an organised and commercially minded Estimating & Bid Assistant to support our pre-construction and commercial team.
The role combines construction estimating with bid coordination. You will assist with take-offs, pricing, subcontractor and supplier enquiries, PQQs and the quality element of tender submissions.
This position would suit someone with practical take-off experience who is looking to develop their estimating and bid-management skills within a specialist construction business.
Key responsibilities
Estimating and take-offs
- Carrying out accurate take-offs from drawings, specifications, schedules and other tender information
- Measuring labour, material, plant and subcontract requirements
- Preparing take-off sheets, bills of quantities, pricing schedules and tender breakdowns
- Reviewing tender information for discrepancies, omissions and clarification requirements
- Assisting with Excel-based estimates, rates, preliminaries and pricing build-ups
- Checking measurements, calculations and estimate totals for accuracy
- Recording assumptions, exclusions, risks and qualifications
- Updating estimates when revised tender information is received
Subcontractor and supplier enquiries
- Preparing and issuing enquiries to subcontractors and suppliers
- Ensuring the correct drawings, specifications and scope information are included
- Following up quotations and responding to queries
- Checking quotations for completeness, exclusions and qualifications
- Comparing returns on a like-for-like basis
- Preparing quotation comparison sheets
- Maintaining clear records of enquiries, quotations and correspondence
- Developing professional relationships with subcontractors and suppliers
PQQs and quality submissions
- Assisting with pre-qualification questionnaires, expressions of interest and tender submissions
- Coordinating the quality and non-financial elements of bids
- Drafting clear responses using approved company information and project experience
- Obtaining technical input from estimators, contracts managers, project managers and senior management
- Collating case studies, project examples, team CVs, policies, certificates and supporting evidence
- Supporting responses covering methodology, quality, health and safety, sustainability, risk, social value and supply-chain management
- Proofreading and checking submissions for completeness, accuracy and compliance with word limits
- Uploading information to tender and procurement portals
- Maintaining a library of approved responses, project information and company documents
Tender coordination
- Reviewing tender invitations and recording submission requirements and deadlines
- Maintaining tender trackers, enquiry registers and submission checklists
- Ensuring current drawings and tender documents are available to the relevant team
- Coordinating clarification questions and outstanding information
- Supporting tender reviews and adjudication meetings
- Assisting with the final preparation and submission of tenders
- Preparing handover information following project award
About you
You will be numerate, organised and confident working with detailed construction information.
You should have:
- Previous experience carrying out construction take-offs
- Some experience in estimating, quantity surveying, commercial support or bid support
- The ability to read and interpret construction drawings and specifications
- Confidence using Microsoft Excel for estimating
- Good numerical and analytical skills
- Strong attention to detail
- The ability to compare quotations and identify exclusions or differences
- Good written communication and proofreading skills
- Confidence dealing with subcontractors, suppliers, clients, consultants and internal teams
- The ability to manage several tender activities and deadlines
- A proactive and professional approach
- A genuine interest in developing a career in construction estimating and bid preparation
Desirable experience
It would be beneficial to have:
- Experience within heritage, conservation, refurbishment or existing buildings
- Experience measuring specialist trade packages
- Experience issuing subcontractor or supplier enquiries
- Experience preparing PQQs or quality responses
- Familiarity with tendering or procurement portals
- Knowledge of bills of quantities or standard methods of measurement
- A relevant construction, quantity surveying or business qualification
Training and support will be provided to develop your estimating, bid-writing and heritage-construction knowledge.
