As our business continues to grow, we're looking for a highly organised and proactive Subcon Coordinator to join our Planning Team.
This is an excellent opportunity for someone who enjoys working in a fast-paced environment, building supplier relationships, solving operational challenges and making a genuine impact on customer service delivery.
Key responsibilities -
Supplier Coordination & Scheduling
- Coordinate compliance inspections, maintenance activities and repairs with our nationwide supplier network.
- Schedule work to ensure customer assets remain compliant and operational.
- Build strong working relationships with subcontractors to ensure high service standards.
- Arrange urgent breakdown support and prioritise critical customer assets.
- Monitor supplier performance and proactively follow up outstanding jobs.
Compliance & Documentation
- Ensure all subcontractor compliance work is:
- Completed correctly
- Certified on the day of completion
- Complete and send certificates to UKPN Fleet Control on the same day work is completed.
- Maintain accurate records to support audit and customer reporting requirements.
Subcontractor Invoicing
- Complete daily subcontractor invoicing.
- Ensure invoices align with completed works and certifications.
- Support timely and accurate cost capture for account performance reporting.
WIP & Repair Management
- Actively chase subcontractor repairs and WIP jobs.
- Work to reduce asset downtime and ageing WIP.
- Escalate risks or delays to the Customer Account Executive promptly.
Account Support & Cover
- Work alongside the Customer Account Executive to ensure:
- Continuity of service during holidays and peak periods
- No loss of customer coverage
- Provide day‑to‑day operational support to maintain consistent account delivery.

Skills & Experience -
Essential
- Experience in scheduling, coordination, or operational support roles.
- Strong organisational and prioritisation skills.
- Confident communicator with external suppliers.
- High attention to detail, particularly with documentation and invoicing.
- Ability to manage multiple tasks under time pressure.
Desirable
- Experience working with subcontractors.
- Exposure to compliance‑driven environments (fleet, plant, utilities, engineering).
- Familiarity with customer reporting or certification processes.
