SUMMARY
- Oversees the overall operations through management planning with a set objective and goal to maximize the productivity of the department.
- Manage the operational and fiscal activities of the department.
- Plan and develop systems and procedures to improve the operating quality and efficiency of the department.
- Supervise staff in accordance with company procedures.
- Responsible for hiring, training, and coaching employees.
PRIMARY RESPONSIBILITIES
- Adhere to, train and advise team in areas of Customs Brokerage Regulations
- Monitor team performance against company standards and department goals; regular audit of shipment documents and accounting
- Monitor problem files and implement corrective action when needed
- Issue work instructions to team members to ensure timely and orderly file flow including release, billing, and auditing
- Monitor staff training needs; identify and develop training objectives
- Conduct regular staff meetings; communicate department goals and expectations
- Daily follow-up on documentation discrepancy issues which requires the ability to troubleshoot and communicate effectively, both verbally and in writing with customers and foreign origins
- Escalate any unresolved issues or risks before they materially impact the company
- Work closely with other departments and branches to deliver high level of service to customers
PRIMARY DUTIES
1. Increase Profit and Revenue; manage the operational and fiscal activities of the department to include: staffing levels, budgets and financial goals. Prepare, review and approve customer quotations and pricing proposals to ensure profitability and competitiveness.
2. Sustain an excellent Quality of Service; Plan and develop systems and procedures to improve the operating quality and efficiency of the department.
3. Develop the best organizational structure that will ensure an excellent customer service as well as employee satisfaction; Analyze and document business process and problems. Develop solutions to enhance efficiencies, Coordinate and implement solutions from process analysis and general department projects. Responsible to meet department productivity and quality goals.
4. Supervise the Performance of Subordinates and Subcontractors; Direct staff in the development, analysis, and preparation of reports, Supervise staff in accordance with company policies and procedures, Conduct interviews, hire new staff, and provide employee orientation, Coach and provide career development advice to staff, Establish employee goals and conduct employee performance reviews, Responsible for staff scheduling to include: work assignments, employee training, employee vacations, and back-up for absent employees, Assist staff to resolve complex or out of policy operation problems.
5. Communicate with Supervisors, Managers and Headquarters on Department operations. Schedule and conduct department meetings.
6. Approve department expenditures.
7. Ensure Compliance of all Regulations.
8. Other duties as assigned.
KNOWLEDGE AND SKILL REQUIREMENTS
- Customs Entry experience is required
- Proven analytical and problem solving skills
- Excellent communication skills, both verbal and written
- Excellent team-building skills and ability to work independently
- Good planning and organization skills; ability to multitask and be a self-starter
- Proven reliability, ability to work with demanding deadlines in a high-pressure environment
- Basic English reading, writing, and arithmetic skills required. Minimum high school diploma or equivalent.
- Knowledge of office processes, procedures, and technology, Experience in supervising team activities.
- Ability to read and interpret accounting and financial reports.
