Responsibilities:
The Receptionist is a key member of the practice team and is often the first point of contact for patients, carers, healthcare professionals and external organisations. The post holder will provide a professional, efficient and compassionate reception and administrative service, ensuring patients receive timely access to the most appropriate care and support.
The role involves managing telephone, face-to-face and online enquiries, supporting appointment booking processes, undertaking care navigation and signposting, maintaining accurate patient records, and facilitating effective communication across the multidisciplinary team. The Receptionist will contribute to the smooth day-to-day running of the practice whilst maintaining the highest standards of confidentiality, customer service and patient care.
The following are the core responsibilities of the Receptionist. Additional duties may be required in line with service needs and operational requirements.
Patient Access & Reception
- Welcome patients, visitors and healthcare professionals in a professional and courteous manner.
- Manage face-to-face, telephone and online enquiries effectively and efficiently.
- Provide first contact resolution wherever possible.
- Support patients in accessing the most appropriate service through effective care navigation and signposting.
- Book, amend and cancel appointments in accordance with practice policies and local access procedures.
- Assist patients in using online services, digital tools and NHS App functionality where appropriate.
Communication & Administration
- Answer incoming telephone calls promptly and direct calls appropriately.
- Accurately record and relay messages to clinicians and members of the wider healthcare team.
- Respond to patient requests and enquiries within agreed timescales.
- Liaise with hospitals, community services, pharmacies and other external agencies as required.
- Process incoming and outgoing correspondence in accordance with practice procedures.
- Direct requests for medical reports, insurance forms, SARs and third-party correspondence to the relevant administrative team.
Clinical System & Data Quality
- Maintain accurate patient records using EMIS Web and other approved systems.
- Register new, temporary and immediate necessity patients in accordance with NHS guidance and practice protocols.
- Undertake SNOMED coding and data entry activities where delegated and appropriately trained.
- Scan and file documents accurately within electronic patient records.
- Support data quality initiatives and undertake system searches as requested.
Practice Support
- Maintain a clean, safe and welcoming reception environment.
- Monitor notice boards and patient information displays.
- Support clinicians and colleagues with general administrative tasks.
- Contribute to patient experience and continuous improvement initiatives.
- Provide reception and administration cover during periods of staff absence.
Secondary Responsibilities
The Receptionist may also be required to:
- Participate in audits, service improvement projects and patient surveys.
- Support practice recalls, health campaigns and patient communication initiatives.
- Assist with stock monitoring and ordering of reception supplies.
- Undertake opening and closing procedures in accordance with practice protocols.
- Participate in team meetings and staff training sessions.
QUALIFICATIONS
Essential:
GCSE Mathematics & English (Grade C/4 or above)
Desirable:
NVQ level 2 in Health and Social Care, Business Administration or Customer Care
