Role Purpose
The HR & People Advisor will take ownership of the day-to-day HR and people function across the business, supporting all staff including recruitment, security clearance for staff and our company mobile phone contract
The role will be responsible for ensuring that our people processes are professional, consistent, well organised and compliant, from recruitment and onboarding through to ongoing employee support and leaver processes.
The successful candidate will be the first point of contact for employees and managers on day-to-day HR matters and will work closely with our external HR and employment-law partner, Freeths, where specialist advice or support is required.
This is a hands-on role requiring someone who is organised, approachable, commercially aware and confident in dealing with people at all levels.
Key Responsibilities
1. Day-to-Day HR
- Act as the primary point of contact for employees and managers on day-to-day HR matters.
- Maintain accurate and confidential employee records.
- Manage HR administration and ensure records are kept up to date.
- Manage the employee lifecycle from joining through to leaving.
- Manage holiday, sickness and absence processes.
- Support managers with probation reviews and performance management.
- Ensure HR policies and procedures are communicated and followed.
- Identify areas where HR processes can be improved.
- Maintain confidentiality and handle sensitive employee information appropriately.
2. Recruitment
- Manage the recruitment process from initial vacancy through to appointment.
- Work with hiring managers to agree job descriptions and candidate requirements.
- Advertise vacancies and manage candidate applications.
- Coordinate interviews and provide support to hiring managers.
- Manage offers, references and pre-employment checks.
- Ensure recruitment processes are consistent and professional.
- Build and maintain a strong candidate experience.
- Develop relationships with recruitment agencies where required.
3. New Starter & Onboarding
Own the complete new-starter process and ensure every employee receives a professional and consistent onboarding experience.
Responsibilities include:
- Preparing contracts and new-starter documentation.
- Coordinating references and pre-employment checks.
- Managing security clearance requirements.
- Ensuring equipment, mobile phones and other requirements are ready.
- Coordinating induction arrangements.
- Ensuring managers understand their responsibilities for new starters.
- Managing probation periods and ensuring reviews take place on time.
- Maintaining accurate onboarding records.
- Continually improving the onboarding experience.
4. Security Clearances
- Manage the company's employee security-clearance process.
- Ensure required checks are completed before employees commence relevant duties.
- Maintain accurate records of clearance status and expiry dates.
- Coordinate renewals where required.
- Work with operational managers to ensure employees are appropriately cleared for their roles.
- Escalate any issues or concerns promptly.
5. Mobile Phones & Employee Equipment
- Maintain an accurate register of company mobile phones and associated equipment.
- Coordinate allocation of phones to new starters.
- Manage the return of equipment when employees leave.
- Liaise with suppliers/providers where required.
- Maintain accurate records of devices and users.
- Ensure equipment processes are consistent and controlled.
6. Employee Relations
- Provide first-line support to managers on employee-relations matters.
- Support managers with disciplinary, grievance, absence and performance processes.
- Ensure appropriate documentation is maintained.
- Identify matters requiring specialist advice.
- Work with Freeths on complex or potentially contentious employee-relations matters.
- Ensure advice received from Freeths is implemented appropriately.
7. HR Systems & Compliance
- Maintain the company's HR system, including Breathe HR.
- Ensure employee information is accurate and current.
- Monitor key HR deadlines.
- Maintain personnel files and documentation.
- Ensure HR processes comply with company policy and employment legislation.
- Work with Freeths to review and update policies where required.
- Produce regular HR reports for the Senior Leadership Team.
8. Employee Engagement & Culture
- Help create a positive and professional employee experience.
- Support employee engagement initiatives.
- Identify recurring employee issues and recommend improvements.
- Help promote the company's values and culture.
- Support managers in creating a positive working environment.
- Assist with employee communications where appropriate.
Key Objectives
The successful candidate will be measured against the following key objectives:
1. Professional HR Function
Ensure the business has a well-organised, responsive and professional HR function that provides employees and managers with the support they need.
2. Recruitment
Ensure vacancies are managed efficiently via our VSOF system, with high-quality candidates identified and recruited within agreed timescales.
Target: Recruitment processes are consistently managed from vacancy approval through to appointment and onboarding.
3. Onboarding
Deliver a consistent and professional onboarding experience for every new employee.
Target: 100% of new starters have their contracts, checks, onboarding requirements and induction arrangements completed appropriately.
4. Probation Management
Ensure all probation periods are actively managed.
Target: 100% of probation reviews are scheduled and completed within the required timeframe.
5. Security Clearance
Maintain complete visibility of employee security-clearance requirements.
Target: No employee undertakes work requiring clearance without the appropriate clearance being confirmed.
6. HR Records
Maintain accurate and up-to-date employee information.
Target: HR records and Breathe HR remain accurate, complete and regularly reviewed.
7. Employee Relations
Ensure employee-relations matters are dealt with promptly, professionally and consistently.
Target: Appropriate matters are escalated to Freeths early enough to minimise risk to the business.
8. Manager Support
Provide managers with practical HR support while ensuring they retain responsibility for managing their teams.
9. HR Compliance
Ensure the company remains compliant with its HR policies, processes and employment obligations, working with Freeths where specialist advice is required.
10. Continuous Improvement
Identify opportunities to improve the employee experience and make HR processes more efficient.
Pay: £30,000.00-£35,000.00 per year
